Job Title:
Executive Assistant to the CEO
Position Summary:
The Executive Assistant (EA) to the CEO plays a pivotal role in ensuring the CEO’s time is optimized
for maximum productivity and impact. This position requires a highly organized, proactive, and
detail-oriented professional who can manage a wide range of tasks involving both strategic, and
operational aspects of the company. The EA will act as an important part of the CEO office ensuring seamless coordination of priorities, communications, and projects. This role reports directly to the CEO.
Key Responsibilities:
– Email Management:
Efficiently manage the CEO’s inbox by categorizing emails into actionable
items, informational updates, and future reference materials.
– Routine Tasks:
Organise activities for routine tasks such as welcoming new employees, induction
sessions, acknowledging special occasions, review meetings, and responding to media mentions.
– Meeting Preparation:
Prepare and organise documentation, agendas, and briefing materials for the CEO’s meetings, ensuring alignment with key priorities.
– Project Coordination:
Track and drive progress on special projects initiated by the CEO, ensuring
deadlines are met and stakeholders are aligned.
– Ad-Hoc Support:
Provide flexible and responsive support to the CEO as needed, including managing unexpected tasks and priorities.
Skills and
Qualifications:
– Attention to Detail:
Exceptional ability to manage complex tasks with precision and accuracy.
– Communication Skills:
Strong verbal and written communication skills, with the ability to convey
information clearly, confidently, and professionally.
– Prioritisation:
Proven ability to prioritise tasks effectively in a fast-paced and dynamic environment.
– Discretion:
High level of professionalism and sensitivity in handling confidential information.
– Experience:
2–6 years of experience supporting C-level executives or senior management in a
similar role.
– Interpersonal Skills:
Strong relationship-building skills with the ability to collaborate effectively with internal and external stakeholders.
– Organizational Skills:
Excellent organizational, research, and time-management skills, with the
ability to manage multiple projects simultaneously.
– Technical Proficiency:
Advanced skills in office productivity tools (e.g., Microsoft Office, Google
Workspace) and the ability to quickly learn new software and systems.
– Independence:
Self-motivated and capable of working independently with minimal supervision,
while maintaining a high level of discretion and professionalism.
