Innovative healthtech startup is looking for an Executive Assistant to support their Co-Founders. With their recent Series B funding and plans to almost double in size by EOY, this is an incredible opportunity to be a thought partner to the Co-Founders during this exciting growth stage and grow alongside the organization! Provide strategic support to the Co-Founders through calendar management, inbox prioritization, travel planning, meeting prep and follow-up, while maintaining a pulse on team dynamics. You will also oversee their new office space, facilitate cross-functional collaboration, and help with culture-building initiatives. Someone who brings positive energy to the team, excels at identifying patterns & efficiencies, and is meticulous with the details. Previous experience supporting senior leaders at a high-growth startup is a must. This is a hybrid role, 3 days/week, based near Union Square in San Francisco. 150-170K+ DOE + equity, amazing benefits package for employees and dependents, 401k, flexible PTO, and a fun, collaborative team culture!
Responsibilities:
Provide comprehensive support to the two Co-Founders, including calendar management, prioritizing meetings, and optimizing daily schedules to ensure smooth operations.
Act as a key point of contact for internal and external stakeholders, handling correspondence, emails, and calls with professionalism.
Support meetings by preparing agendas, taking notes, and tracking follow-ups and action items.
Manage travel logistics and itineraries for domestic and international trips, coordinating all accommodations and on-the-ground details.
Monitor team dynamics, identify operational challenges, and flag relevant patterns or concerns to leadership.
Coordinate cross-functional activities, such as gathering updates for all-hands meetings or ensuring team-wide alignment on initiatives.
Plan and execute internal events, off-sites, and team-building activities to support company culture.
Assist with onboarding new employees and contribute to fostering a welcoming and inclusive workplace culture.
Oversee office operations at their new space, including vendor and general workspace management.
Continuously improve processes and workflows to increase efficiency and support strategic goals.
Handle confidential and sensitive information with discretion and integrity.
Qualifications:
4+ years of experience as an Executive Assistant or similar role, preferably in a high-growth startup tech environment.
Experience supporting leadership in early- to mid-stage startups is highly preferred.
A proactive and resourceful problem-solver who thrives in fast-paced and ambiguous environments.
Strong business acumen with the ability to identify patterns, stay informed on company context, and serve as a thought partner to leadership.
Friendly, thoughtful, and outgoing demeanor with a natural ability to bring positive energy to the workplace.
Strong written and verbal communication skills, with the ability to articulate ideas clearly and iterate in real time.
Detail-oriented with excellent organizational and time-management skills; able to juggle multiple priorities with a high degree of accuracy.
Tech-savvy. Familiarity with tools such as Zoom, Slack, GSuite, Notion, Rippling, and Linear or similar platforms.
