Job Summary
We are looking for a highly organized, proactive, and professional Executive Assistant to the Director to provide comprehensive administrative and operational support. The ideal candidate will manage the Director’s schedule, coordinate meetings, handle confidential information, prepare reports, and ensure smooth communication across departments.
Key Responsibilities Executive Support
- Manage the Director’s calendar, appointments, meetings, and travel schedules.
- Coordinate and schedule internal and external meetings.
- Prepare meeting agendas, presentations, minutes, and follow-up action items.
- Act as a communication link between the Director and internal/external stakeholders.
- Handle confidential and sensitive information with discretion.
- Track important deadlines, commitments, and deliverables.
Administrative Management
- Manage emails, correspondence, and official communications.
- Prepare reports, MIS, presentations, and business documents.
- Organize travel arrangements including flights, accommodation, and itineraries.
- Maintain records, files, and important documents.
- Coordinate with various departments to ensure timely completion of tasks.
- Support the Director in day-to-day decision-making activities.
Coordination & Follow-up
- Follow up with department heads on assigned tasks and projects.
- Monitor progress of key initiatives and provide updates to the Director.
- Coordinate with clients, vendors, and business partners when required.
- Assist in organizing corporate meetings, events, and reviews.
Required Qualifications & Experience
- Bachelor’s degree in Business Administration, Management, Commerce, or a related field.
- 3–8 years of experience as an Executive Assistant, Personal Assistant, or similar role.
- Experience supporting senior leadership/directors preferred.
- Strong knowledge of MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
