Role Overview
The Executive Assistant will serve as a trusted partner to the Director, providing high-level administrative, operational, and strategic support. The role will act as the primary coordination point between the Director and internal/external stakeholders, ensuring seamless communication, efficient scheduling, timely execution of priorities, and adherence to corporate governance and compliance requirements.
Key Responsibilities
- Manage the Director's calendar, meetings, appointments, and travel arrangements (domestic and international).
- Coordinate with internal teams and external stakeholders to ensure timely follow-up and closure of action items.
- Prepare presentations, reports, business correspondence, meeting agendas, minutes of meetings (MoM), and executive summaries.
- Support board meetings, leadership reviews, and management discussions by coordinating documentation and logistics.
- Maintain confidentiality of sensitive business information and ensure compliance with applicable regulations.
- Prepare and track MIS reports, executive dashboards, and key business updates for management review.
- Coordinate leadership visits, events, and stakeholder meetings.
- Ensure proper filing, documentation, and archival of confidential records and corporate documents.
- Act as the point of contact during the Director's travel or absence and support critical business priorities.
Requirements
- Graduate/Postgraduate in Business Administration, Management, International Relations, or a related field.
- 5–8 years of experience supporting CXO-level executives (CEO, MD, Director) in multinational or cross-border organizations.
- Proven expertise in calendar management, executive communication, stakeholder coordination, and confidential information management.
- Strong proficiency in MS Office Suite (Excel, PowerPoint, Word) and reporting tools.
- Excellent verbal and written communication skills in English.
- Strong organizational, planning, and multitasking abilities.
