Summary:

We seek a highly organised and proactive Executive Assistant to support our Managing Director. The ideal candidate will have exceptional

communication

multitasking

skills, with a proven ability to manage executive schedules, coordinate meetings, and handle confidential information with discretion. This role demands a resourceful and detail-oriented professional who can provide top-notch administrative support, ensuring smooth operations and allowing the MD to focus on strategic initiatives.

Key Responsibilities:

Calendar Management:

Schedule and manage the MD’s appointments, meetings, and travel arrangements.

Coordinate and prioritise meeting requests, ensuring optimal use of time.

Ensure timely reminders and updates for all scheduled activities.

Communication

:

Serve as the primary point of contact between the MD and internal/external stakeholders.

Draft, review, and manage correspondence, emails, and reports on behalf of the MD.

Maintain open lines of

communication

to relay important information promptly.

Meeting Coordination

:

Organise and prepare materials for meetings, including agendas, presentations, and minutes.

Facilitate follow-up actions from meetings, ensuring timely execution of tasks.

Coordinate with attendees to confirm availability and logistical arrangements.

Administrative Support:

Maintain confidential files and records, ensuring accurate documentation.

Handle office administrative tasks, including expense reports, procurement, and office supplies management.

Assist with the preparation of documents and presentations for various purposes.

Project Assistance:

Assist in managing special projects, conducting research, and compiling data as required.

Provide support in the preparation of reports and presentations for strategic meetings.

Track project timelines and ensure adherence to deadlines.

Departmental Coordination:

Coordinate with various departments to ensure seamless

communication

and

efficient operations

.

Facilitate the flow of information between departments and the MD’s office.

Address departmental inquiries and requests promptly.

Content Management:

Collect and consolidate content from the digital content team.

Screen and review content for relevance and accuracy before presenting to the MD.

Ensure that all content aligns with company standards and objectives.

Technical Assistance:

Assist in creating and refining presentations.

Provide technical support, leveraging MS Office Suite skills.

Stay updated with the latest software and tools to enhance efficiency.

Required

Qualifications & Skills:

Education:

Bachelor’s degree in Business Administration, Management, or a related field.

Experience:

Minimum of 10 years of experience as an Executive Assistant or in a similar administrative role, preferably within the manufacturing sector.

Technical Knowledge:

Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).

High level of discretion and confidentiality.
