Executive Assistant to the Superintendents of Learning

Duties And Responsibilities
- Provide full confidential administrative and executive assistance to the Superintendents of Learning
- Establish and maintain electronic and hard copy filing systems
- Coordinate and attend committee meetings as required and be responsible for preparation and follow-up of agendas, minutes and correspondence
- Research, anticipate and organize relevant data as needed
- Proofread documents for accuracy, grammar and formatting
- Responsible for budget tracking and transfers as assigned
- Perform any required research and report compilation including updating of Board Administrative Guidelines & Operating Procedures
- Undertake special projects and assignments
- Clerical/administrative duties such as data entry, scheduling, answering phones, mail distribution, processing invoices and respond to routine inquiries and provide resolution to general inquiries and concerns
- Communicate with a variety of contacts both internal and external daily
- Support communication with families, schools, and community agencies
- Other duties as assigned
Qualifications
- College Diploma in Office/Executive/Business Administration or equivalent combination of education and relevant experience
- Up to 5 years of related work experience in a senior clerical or executive assistant position, including at least 3 years of progressive experience meeting challenges and seeking resolutions, preferably in a school board environment

- Demonstrated experience working with confidential information
- Well-developed planning, organizational and time management skills including ability to prioritize multiple projects and work independently with a high level of attention to detail and accuracy
- Demonstrated ability to interact effectively with a wide variety of people at all levels within the organization, external agencies and the general public
- Ability to gather information, analyze, evaluate, formulate, and recommend an appropriate course of action as well as identify areas for improvement in efficiency of operations
- Excellent verbal and written communication skills and listening skills
- Able to demonstrate empathy, judgment, initiative, responsibility and common sense
- Exceptional ability to discern and resolve issues presented with a high level of urgency
- Strong computer skills in word processing, spreadsheets, presentation software and databases
- Knowledge and comprehension of School Board operations, policies, procedures, operating guidelines and organizational structure is an asset
- Commitment to equity, inclusion, and culturally responsive practices
- Ability to travel within the district, as required
Salary: $74,127.00 annually
