Job Summary
We are seeking a highly organized and proactive Executive Assistant to the CEO to work on key back-office functions, including Payroll, Reporting, Finance, Human Resources, Recruiting, and Special Projects. This pivotal role is responsible for driving operational excellence and supporting executive leadership by providing critical insights, overseeing and integrating systems, ensuring compliance, and streamlining administrative functions.
The position will operate with a high level of authority, discretion, and autonomy, collaborating across departments to ensure alignment with organizational goals. This role does not have direct reports but requires leadership influence and the ability to work effectively across multiple stakeholders.
Duties
Finance & Reporting
Support CEO with financial functions, including payroll, accounts payable, accounts receivable, and client account management, with the intent of taking over responsibility for these functions.
Address questions from the external accounting team about financial transactions, such as expense reconciliation, revenue reporting, tracking client transactions, and bank reconciliations.
Routinely prepare reports, presentations, and KPI dashboards for leadership.
Coordinate the organization’s annual financial audit and manage relationship with external auditor.
Manage vendor contracts and relationships, to ensure cost-effectiveness and resolution of billing and payment issues.
Maintain and update corporate records, policies, and procedures.
Recruiting, Hiring & Benefits Admin
Assist HR with recruiting, including job postings, resume screening, interviews, reference checks, and job negotiations.
Conduct trainings, new hire onboarding sessions and assist with orientation.
Address staff inquiries and complaints and provide resolution.
Coordinate the administration of employee benefits.
Maintain and enhance HR policies, procedures, and employee records; ensure compliance with all applicable laws and regulations.
Collaborate with leadership to manage employee performance reviews and professional development initiatives.
Project Management & Business Process Improvement
Support leadership by identifying process inefficiencies and implementing streamlined systems, processes, and automation.
Assist with regulatory filings, licensing, and research as needed.
Document and track team progress through status reporting and project management tools.
Other duties, as assigned.
Qualifications
Bachelor’s degree in Business Administration, Finance, Psychology, Human Resources, Paralegal Studies or a related field.
2- 5 years of progressive experience in business operations, HR, finance, or related roles.
Experience working with C-suite executives, a must.
Use of sound judgment, level-headedness, prudence, and practicality in decision-making.
High level of integrity, professionalism, and confidentiality.
Proven ability to manage multiple functional areas simultaneously with discretion and authority.
Excellent analytical, organizational, and problem-solving skills.
Exceptional interpersonal and communication skills; ability to influence without direct authority.
Ability to work independently while being a collaborative team player.
Strong attention to detail with a commitment to maintaining confidentiality.
