Position Overview

Ultimate Staffing Services is actively seeking an experienced Executive Assistant to join their client’s esteemed team in San Jose, California. The successful candidate will provide high-level administrative support to the CEO and COO, ensuring smooth operations and enhancing organizational efficiency. This role requires a dedicated professional who thrives in a dynamic environment and is ready to tackle various responsibilities with precision and confidentiality.

Responsibilities

Maintain confidentiality of highly sensitive information.

Provide high-level administrative support and assistance to the CEO and COO.

Manage the CEO’s calendar, prioritizing sensitive matters.

Plan, organize, and coordinate events, meetings, and travel arrangements.

Draft memos, organize files, and collaborate on projects to support the CEO and COO initiatives.

Track expenses and prepare weekly and monthly reports as needed.

Manage information flows in a timely and accurate manner.

Prepare reports, presentations, agendas, and record meeting minutes.

Coordinate the production of board packets, agenda, and event logistics.

Screen visitors, phone calls, emails, and physical mail for the CEO and COO.

Perform other duties as needed.

Knowledge, Skills, and Abilities

Ability to function well in a high-paced environment.

Excellent verbal and written communication skills.

Excellent organizational skills and attention to detail.

Ability to work with autonomy and a solution-based approach.

Excellent time management skills with a proven ability to meet deadlines.

Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.

Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.

Qualifications

Bachelor’s degree.

At least four years of related experience required.

Valid Class C Driver’s License.

Language Skill

Proficiency in English.

Physical Demands

Must be able to lift up to 15 pounds.

Prolonged periods sitting at a desk and working on a computer.

Work Environment

Typical work week is Monday through Friday, 7:00 AM to 4:00 PM. The schedule can vary, including early start times and evening start times. After-hours and weekend work may be required on occasion.

Salary and Benefits

Salary: $40.00 to $48.50 per hour

Work Hours: Monday to Friday
