About the opportunity
Reporting to the CEO and the Company Secretary, the Executive Assistant & Office Co-ordinator provides trusted executive support to the CEO and CFO while helping ensure the smooth operation of our office and administration function.
Key responsibilities
- Executive support: Manage the CEO's diary, meetings and travel, acting as an effective gatekeeper, and provide light diary support to the CFO.
- Team & office coordination: Support a small, collaborative investment team and coordinate the office – meeting and board-room setup, refreshments and video conferencing – particularly through peak board-reporting periods and to cover leave.
- Administration: Maintain the in-house leave register, provide oversight of HR documentation, and support general office upkeep.
- Governance backup: Provide governance and administrative backup, including preparing board papers in Diligent and supporting board and committee meetings.
About you
- Executive Assistant expertise: proven EA or senior administrative experience, with first-class diary and inbox management and the judgement to prioritise and act as gatekeeper.
- Organisation: you manage competing priorities calmly and to deadline.
- Communication & presence: a clear communicator who is confident and professional with senior stakeholders, including company directors.
- Proactivity & problem-solving: you take the initiative and find solutions rather than waiting to be asked.
- A modern mindset: you embrace new and more efficient ways of working, including technology, automation and AI.
- Attitude: flexible, collaborative and keen to learn and grow with a role that will evolve.
- Confidentiality: you handle confidential information with judgement, professionalism and discretion.
An interest in corporate governance is a plus but not essential – the right attitude matters most.
