We are seeking an Executive Marketing Assistant to support our busy marketing agency CEO in Nashville, TN. This hybrid role’s primary function is helping the CEO stay organized, productive, and focused. You will handle a blend of executive assistant duties, marketing operations coordination, and light content and project management tasks. In this role, you act as the CEO’s right-hand, ensuring day-to-day operations run smoothly and marketing initiatives are executed efficiently.

Key Responsibilities:

Attend meetings (in-person or virtual) alongside the CEO, take clear notes, and capture action items for follow-up – ensuring nothing falls through the cracks.

Quality-check marketing content (e.g. blog posts, social media updates, client presentations) for accuracy, clarity, and consistency with brand guidelines.

Manage the CEO’s calendar and schedule by coordinating appointments, prioritizing engagements, and sending timely reminders to keep the CEO on track.

Organize and monitor tasks and projects, using checklists or project management tools to track progress, meet deadlines, and keep team members aligned with priorities.

Support client communications by drafting and proofreading emails, preparing meeting summaries, coordinating follow-ups, and maintaining prompt, professional correspondence on the CEO’s behalf.

Provide general administrative support to the CEO as needed – from prepping meeting agendas or simple reports to handling travel arrangements and confidential information with discretion.

Required Skills & Qualifications:

Organized & Detail-Oriented: Highly organized with exceptional attention to detail and the ability to juggle multiple priorities and deadlines.

Communication: Excellent written and verbal communication skills, including the ability to craft professional emails and document meeting notes clearly.

Judgment & Autonomy: Strong judgment and problem-solving skills; able to work independently, anticipate needs, and make informed decisions to support the executive.

Marketing Experience: Proven experience in a marketing environment (e.g. marketing agency or in-house marketing team) or in a role supporting marketing operations.

Tech Savvy: Comfortable with common office and productivity tools; quick to learn new software (for email, calendars, documents, task management, etc.).

Adaptability: Thrives in a fast-paced environment and can adjust to changing priorities while maintaining a positive, proactive attitude.

Preferred Skills (Bonus Points):

Familiarity with ChatGPT or other AI tools for drafting content or brainstorming ideas.

Proficiency with Google Workspace (G Suite) – especially Gmail, Google Calendar, Docs, and Sheets.

Experience using communication platforms like Slack and Zoom for team collaboration.

Basic knowledge of brand standards and SEO principles (not required to be an expert, but an understanding of the basics is a plus).

Exposure to project management tools (such as Monday.com, HighLevel, or similar) or CRM systems is a plus.

Salary & Benefits:

Salary Range: $55,000–$70,000 per year (commensurate with experience).
