A private, family-owned organization is seeking an experienced Executive/Personal Assistant to provide administrative and personal support to the company’s CAO. This position requires strong judgement and foresight for a busy Executive’s needs. Looking for a professional, mature-minded, organized assistant who can adapt well to changing priorities in a fast-paced environment. The role is 5 days in office. The office is located near Grand Central Station and has 50 employees. The current EA has been there for 7 years.

About the Job:

Coordinate correspondence on behalf of the Executive, manage calls and messages, and remain in constant communication with the Executive.

Coordinate complex travel arrangements (both domestic and international) for Executive and family including private jets.

Make dinner reservations

Record keeping, keep bill payment schedule and prepare tax materials at year-end. Maintain all personal and business finances related to Executive.

Executive is heavily involved in philanthropic efforts, and candidate will assist with fundraising tasks.

Maintain files and electronic information in an organized, efficient and secure manner

Prepare meeting documents for Executive

Plan company and personal events, seminars, and holiday parties. Organize all related logistics, including guests list, creating invites, etc.

Handle confidential and sensitive information with discretion

Screen incoming phone calls delivering detailed, timely messages to the appropriate parties

Proactively manage daily calendar, identifying and mitigation potential conflicts

Off-hour availability required

About You:

Minimum of 10 years of experience in a related support position

BA/BS from a college or university

Excellent Microsoft Office skills (Word, Excel, PowerPoint and Outlook)

Dynamic and proactive comfortable in a fast-paced environment.

Polished, professional demeanor

Proactive go-getter; no task is too big or too small

Outstanding communication skills
