Job Description
The Executive Secretary to the General Manager (GM) is responsible for providing comprehensive executive-level administrative and secretarial support to ensure the efficient operation of the GM’s office. This role involves high-level communication, discretion, time management, coordination, and organizational skills. Manage and circulate important and confidential documents through incoming and outgoing communication, both internally and externally.
Manage the General Manager’s calendar, schedule meetings, appointments.
Prepare and edit correspondence, reports, memos, agendas, presentations, and meeting minutes with precision and confidentiality.
Ensure the GM is well-prepared for meetings and has all necessary documents and information in advance.
Coordinate internal and external communications on behalf of the GM.
Serve as a liaison between the GM and department heads, clients, partners, and external stakeholders.
Organize and maintain filing systems (electronic and physical) for easy access to important documents.
Take accurate meeting minutes and follow up on key actions and decisions.
Coordinate and support company events or executive gatherings as required.
Handle incoming calls, emails, and correspondence with professionalism and prioritize urgent matters.
Ensure all communications and documentation are handled with strict confidentiality and discretion.
Prepare monthly reports, executive summaries, and briefing materials for strategic decisions.
Monitor office budgets, process expense reports, and manage procurement for the executive office.
Support special projects, initiatives, and presentations on behalf of the GM.
Qualifications
We are looking for an enthusiastic individual with a proven track record of success and professional experience in all aspects of office administration.
Bachelor’s degree or Advance Diploma in Business Administration, Hospitality Management, or related field.
Minimum 3 years of experience in a similar executive-level secretarial or administrative role.
Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
Excellent verbal and written communication skills.
Exceptional organizational and time management abilities.
Ability to multitask, prioritize tasks, and meet deadlines under pressure.
High level of discretion and integrity in handling sensitive and confidential information.
Strong interpersonal skills with the ability to work well with senior executives and stakeholders.
Professional demeanor and a proactive, can-do attitude.
