Reporting to the Deputy Minister of Justice, the Executive Secretary provides confidential executive and administrative support to the Directorate of the Department of Justice. The position exists to ensure the efficient, accurate, and timely handling of correspondence, records, scheduling, and logistical arrangements for the Deputy Minister and Assistant Deputy Ministers, in accordance with Government of Nunavut policies, procedures, and records management requirements.
The role supports the effective operation of the Directorate by coordinating administrative processes, maintaining confidential records, and facilitating communication and meeting logistics, thereby enabling senior management to carry out their responsibilities.
Responsibilities
Major Responsibilities include but not limited to:
- Serving as an administrative point of contact between the Directorate and internal and external stakeholders, including the Minister’s office, ensuring information is transmitted.
- Reformat and finalize documents such as briefing notes, Cabinet submissions, and Requests for Decision from electronic drafts
- Maintaining accurate logs and tracking systems for incoming and outgoing correspondence.
- Screening and preparing correspondence and other documents for signature by senior officials by proofreading, checking format, and ensuring support materials are attached.
- Arranging conference calls and meetings and preparing minutes of meetings as required.
- Making travel arrangements, preparing travel authorization and claim forms, and arranging hotel accommodation.
- Coordinating calendars, schedule appointments, meetings, and conference calls, and make logistical arrangements as required
Ensuring delivery of and maintaining a record of all submissions made by the Department to Cabinet, including direct appointments, statutory appointments, and other Requests for Decision.
- Establishing, maintaining, and retrieving files in accordance with Government of Nunavut records management standards
Qualifications
The knowledge, skills, and abilities required for this job are usually obtained through a Certification from a recognized secretarial or office administration program plus two (2) years of experience performing related duties in a similar office setting.
The Official Languages of Nunavut are Inuktut, English and French . Applicants may submit their resume in any of the official languages of Nunavut. Fluency in Inukitut is required for the position. Knowledge of Inuit communities, culture,land, Inuit Qaujimajatuqangit, Inuktut and experience working in a northern cross-cultural environment are also considered assets.
