Role Description This full-time, on-site Administrative Associate role is based in the downtown Vancouver and supports the day-to-day operations of a discretionary wealth management advisory team. The Administrative Associate is responsible for managing client documentation, maintaining accurate records, preparing and processing forms and invoices, and coordinating account-related administrative tasks. The role includes responding to client inquiries, scheduling and confirming meetings, and supporting advisors with presentations, reports, and follow-up communications. The Administrative Associate also collaborates with internal partners to ensure compliance with firm policies and industry regulations, while contributing to a professional and efficient office environment.

Qualifications

  • Strong administrative skills with experience in Administrative Processes, including document management, data entry, and workflow coordination.
  • Excellent Communication abilities, including clear written and verbal communication and professional client interaction.
  • Demonstrated Client Service skills, with a focus on internal/external partners & clients, responsiveness, and relationship-building.
  • Proficiency with office productivity software (e.g., Microsoft Office Suite) and ability to learn firm-specific systems.
  • Strong organizational and time-management skills, with attention to detail and the ability to prioritize multiple tasks.
  • Experience in financial services, wealth management, or a related industry is an asset.
  • Post-secondary education in business, finance, administration, or a related field, or equivalent combination of education and experience.
