Overview
We are seeking a highly organized and proactive Facilities and Administrative Manager to oversee the daily operations of our office. This role is essential to ensuring that all administrative functions run smoothly and efficiently. The ideal candidate will bring prior administrative experience within IDD (Intellectual and Developmental Disabilities) services, along with strong time management skills, excellent customer service abilities, and proficiency in office technologies, including Microsoft Office and QuickBooks. As the first point of contact for clients and visitors, the Office Manager will represent our organization with professionalism, warmth, and attention to detail.

Key Responsibilities

Manage front desk operations, including greeting visitors and answering phone calls with professional phone etiquette.

Handle general clerical duties such as filing, data entry, and document preparation to maintain accurate and organized records.

Utilize Microsoft Office Suite (Outlook, Word, Excel, etc.) to schedule meetings, manage calendars, and support team communication.

Demonstrate a willingness to learn Smartsheet to support task tracking, collaboration, and project organization.

Provide excellent customer service by responding to inquiries and resolving issues promptly and courteously.

Operate and oversee office equipment and phone systems, coordinating any required maintenance or troubleshooting.

Use QuickBooks for invoicing, expense tracking, and financial recordkeeping.

Proofread internal and external documents to ensure clarity, grammar, and professional quality.

Prioritize and manage multiple tasks using effective time management strategies.

Offer administrative support to team members to enhance overall office efficiency and collaboration.

Requirements

Administrative experience in the Intellectual and Developmental Disabilities (IDD) field is required.

Proven experience in office management or a related administrative role.

Proficiency in Microsoft Office, QuickBooks, and other standard office software.

Willingness to learn Smartsheet as a collaborative project management tool.

Strong multitasking and time management skills in a fast-paced environment.

Excellent phone etiquette and customer service skills to create a professional and welcoming atmosphere.

Familiarity with clerical tasks such as filing, data entry, and document management.

Ability to proofread and edit documents for clarity and accuracy.

Strong interpersonal skills and a team-oriented mindset.
