Role Summary
Responsible for overall facility operations, including soft services, hard/technical services, vendor management, compliance, and workplace experience. Ensure smooth day-to-day operations of the facility with high standards of safety, efficiency, and cost control.
A. Facility Operations Management
- Manage end-to-end facility operations for corporate office/portfolio.
- Ensure smooth functioning of housekeeping, security, cafeteria, and support services.
- Maintain high standards of cleanliness, hygiene, and workplace experience.
B. Technical Services Management
- Oversee all MEP (Mechanical, Electrical, Plumbing) systems.
- HVAC systems (AHU, VRF Units etc.)
- Electrical systems (UPS, Panels etc.)
- Plumbing systems (water supply, drainage, pumps)
- Fire & Life Safety systems (fire alarms, sprinklers, extinguishers)
- BMS (Building Management System)
- Ensure preventive & breakdown maintenance schedules are followed.
- Handle critical incidents and ensure quick resolution with minimal downtime.
C. Vendor & Contract Management
- Manage multiple vendors for soft & hard services.
- Monitor SLA/KPI performance and ensure service quality.
- Validate invoices, track budgets, and control operational costs.
- Conduct periodic vendor reviews and audits.
D. Compliance & Safety
- Ensure statutory compliance (Fire, Electrical, Lift, Pollution, etc.).
- Conduct safety audits and mock drills.
- Maintain all compliance documentation and records.
- Ensure adherence to EHS (Environment, Health & Safety) standards.
E. Space & Infrastructure Management
- Manage seating layouts, office moves, and space optimization.
- Coordinate with projects team for fit-outs and renovations.
- Ensure workplace readiness for new hires and business needs.
F. Stakeholder Management
- Act as single point of contact for internal stakeholders.
- Address employee concerns related to facility services.
- Coordinate with HR, Admin, IT, and leadership teams
G. Financial & Budget Management
- Prepare and manage annual facility budgets.
- Track expenses and identify cost-saving opportunities.
- Optimize resource utilization without compromising service quality.
H. Team Management
- Lead and manage facility team including supervisors and technicians.
- Ensure proper manpower planning and training.
- Drive performance and discipline across teams.
I. Incident & Crisis Management
- Handle emergencies such as fire alarms, power failures, water leakage, etc.
- Conduct root cause analysis and implement corrective actions.
- Maintain incident reports and escalation matrix.

4. Qualifications & Experience
- FMP certification must.
- 5+ years of experience in facility management
- Experience handling large portfolios (e.g., 1-2 lakh+ sq. ft. and 1000+ employees)
