We are looking for a highly

organized and detail-oriented

Service Coordinator to manage the scheduling and dispatching of our field technicians while ensuring seamless

communication

with customers and internal teams. This role requires a proactive and resourceful individual with strong administrative skills who thrives in a

fast-paced environment

. The Service Coordinator is responsible for maintaining operational efficiency by managing service requests, coordinating resources, and supporting various office and warehouse activities.

The ideal candidate will have a positive, professional attitude and a strong commitment to customer service.

Key Responsibilities:

Dispatching Service Technicians with the necessary parts and information to complete jobs efficiently.

Handling front-line customer calls and service inquiries, providing prompt and professional support.

Managing technician schedules, tracking job progress, and assisting with

problem-solving

in real-time.

Optimizing

resource utilization

by prioritizing tasks based on urgency and customer requirements.

Reviewing work orders, travel distances, personnel availability, and other factors to ensure

efficient operations

.

Recording and distributing information to relevant departments regarding service issues, sales opportunities, dispatch activities, and workplace safety concerns.

Coordinating office and warehouse activities, including managing shipments, inventory, and office supplies.

Maintaining administrative records, formatting reports, managing work reports, and taking meeting minutes.

Overseeing technician and fleet maintenance schedules to ensure compliance with company policies.

Providing scheduling and logistical support for meetings, events, and travel arrangements.

Utilizing work order software such as Jonas for

efficient workflow

management.

Performing additional administrative tasks as needed.

Qualifications & Skills:

Minimum 2-3 years of administrative experience; HVAC industry experience is an asset.

At least 1 year of experience in service dispatch, scheduling, or a related role in a technical or field service environment.

Strong proficiency in MS Office and general computer literacy.

Excellent written and verbal

communication skills

Ability to work independently and collaboratively within a team with minimal supervision.
