JOB SUMMARY
Assists Purchasing Agent in handling all purchases under $15,000 and selected purchase orders greater than $15,000; and performs related work as required.
ESSENTIAL JOB FUNCTIONS
· Communicates extensively with departments for clarification of requests and with vendors for price quotes.
· Places orders with vendors after receiving three competitive quotes via telephone, email, or fax; makes decisions regarding expenditures.
· Assists in the preparation and distribution of bid packets; assigns number to and sets up vendors; maintains vendor list; assists in maintaining vendor information; prints purchase orders and distributes to department and vendor.
· Files department copy of all purchase orders.
· Requisitions payments for communication vendors and maintains related history.
· Fills in for Purchasing Supervisor during their absences.
· Answers inquiries from vendors and department heads regarding status of purchase orders.
· Works with vendors and departments to resolve shipping problems; works closely with Accounting and Purchasing Supervisor to set and follow purchasing policy.
· Processes all purchase requests less than $15,000.
· Manages communication vendor relationship and staff communication issues including payment of invoices.
· Maintains vendor database on shared drive.
· Audits all purchase card statements with transaction documents.
· Develops and writes bid packet for minor purchases.
· Collects and distributes mail; makes bank deposits.
· Operates a company vehicle.
· Performs any other related duties as required or assigned.
QUALIFICATIONS
Education and Experience:
Associate’s degree in a related field and five (5) years of related experience and/or training, and three (3) years of related management experience; or any equivalent combination of education and experience.
Knowledge, Skills and Abilities:
· Knowledge of Microsoft Word, Excel, PowerPoint, and other similar programs.
· Ability to use computers for data entry, word processing, and accounting purposes.
· Ability to write reports, business correspondence, and policy/procedure manuals.
· Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
· Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
· Ability to apply concepts such as fractions, ratios, and proportions to practical situations.
· Ability to solve practical problems and deal with a variety of known variables in situations where only limited standardization exists.
· Ability to interpret a variety of instructions furnished in written, oral, or diagram formats.
