Position Summary:

We are seeking a detail-oriented and dependable Financial & Office Administrator to manage core financial processes and administrative operations. This hybrid role supports both the day-to-day functionality of the office and the financial backbone of the organization. Ideal for someone who thrives in a small-team environment, the position offers variety, stability, and the chance to contribute meaningfully to a professional association.

Key Responsibilities:

Input and process vendor bills; ensure timely payments

Perform monthly bank reconciliations and general ledger entries

Handle annual dues billing and track member payments

Assist with budget tracking and financial reporting

Maintain accurate and organized financial and office records

Provide administrative support by filing documents, managing office supplies and vendor relationships

Manage scheduling, calendar updates, and meeting logistics

Prepare agendas and record minutes for board and committee meetings

Handle inbound/outbound mail, email correspondence, and general inquiries

Assist with event logistics and travel arrangements as needed

Ensure internal compliance with administrative policies

Coordinate basic website content updates or liaise with web support

Qualifications:

Prior experience in administrative or financial support roles

Proficiency with accounting systems (e.g., QuickBooks or similar) and Microsoft Office

Strong organizational and communication skills

Detail-oriented with the ability to manage multiple priorities

Exceptional attention to detail and accuracy in all tasks performed.

Professional discretion when handling sensitive information

Compensation and Benefits:

Compensation: Commensurate with experience

Pay: $45,000.00 – $62,500.00 per year
