Position Summary

The Fleet and Compliance Administrator is responsible for coordinating and supporting fleet management, Department of Transportation (DOT) compliance, and Health, Safety, and Environmental (HSE) programs to ensure operational efficiency, regulatory compliance, vehicle safety, and a safe working environment. This role maintains fleet and DOT records, monitors vehicle compliance and maintenance schedules, administers HSE documentation and reporting in safety data management programs.

Key Responsibilities:

Fleet Administration

  • Maintain accurate fleet records, including vehicle registrations, licensing, insurance, inspections, and maintenance documentation.
  • Helps coordinate vehicle servicing, repairs, preventative maintenance, and inspections.
  • Monitor fleet utilization, fuel consumption, mileage, and vehicle performance.
  • Help coordinate vehicle assignments and replacements.
  • Ensure vehicle compliance with company policies and regulatory requirements.
  • Prepare fleet management reports and performance metrics.

DOT Compliance Administration

  • Administer and maintain DOT compliance programs in accordance with Federal Motor Carrier Safety Administration (FMCSA) regulations.
  • Maintain Driver Qualification (DQ) files, Motor Vehicle Records (MVRs), and driver licensing records.
  • Track CDL requirements, medical certificates, endorsements, and expiration dates.
  • Monitor Hours of Service (HOS), Electronic Logging Device (ELD), and driver compliance requirements.
  • Ensure compliance with vehicle inspection, maintenance, and recordkeeping requirements.
  • Generate DOT compliance reports and monitor key compliance metrics.

Health, Safety & Environmental (HSE) Administration

  • Maintain HSE records, training logs, certifications, and compliance documentation.
  • Help coordinate employee safety training, orientations, and certification renewals.
  • Ensure compliance with applicable health, safety, environmental, and transportation regulations.

Administrative & Reporting Duties

  • Prepare and distribute monthly fleet, DOT, and HSE reports.
  • Maintain confidential employee, driver, and incident records.
  • Assist with data collection, analysis, and reporting of key performance indicators (KPIs).
  • Support management with continuous improvement initiatives related to fleet operations, DOT compliance, and workplace safety.

Qualifications

  • knowledge of FMCSA, DOT, OSHA, and applicable state and federal regulations.
  • Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
