Are you detail-oriented, dependable, and ready to play a key role in keeping operations running smoothly behind the scenes? At DAA Portland, we process hundreds of vehicles each week for our weekly auctions — and we’re looking for a reliable Fleet Lease Admin to help ensure every transaction is accurate and efficient.

As a Fleet Lease Admin, you’ll support our vehicle operations by managing essential documentation and financial details. Your responsibilities will include:

Accurately posting transportation, key, and mechanical charges to vehicles across all McConkey Auction Group (MAG) platforms

Ensuring all charges are properly deducted from vehicle proceeds per account-specific guidelines

Receiving and organizing all transportation, key, and mechanical invoices prior to sale

Coordinating communication between Account Managers, Transportation Coordinators, and Vendors regarding vehicle charges

Scanning and filing invoices in both physical car files and our digital document system

Supporting fellow team members with flexibility and a commitment to team success

Contributing to a collaborative, values-based team culture

Maintaining confidentiality of MAG and customer information

Assisting with sale day operations as needed

Performing other duties as assigned to ensure operational efficiency

What We’re Looking For:

High school diploma or equivalent

2–3 years of office experience with strong proficiency in Microsoft Word, Excel, Outlook, and 10-key

Ability to manage time-sensitive tasks in a fast-paced, team-focused environment

Excellent communication, organizational, and problem-solving skills

Ability to work independently while juggling multiple responsibilities

A team player who leads by example and supports a positive, service-oriented workplace
