Job Description
Welcome Visitors: Serves as first point of contact for visitors and should always greet them with a smile and a friendly tone, maintaining a professional appearance and demeanor.
Visitor Identification: Request identification and the purpose of the visit from visitors and then notify the relevant person or department.
Handle Calls: Responsible for answering, screening, and directing all incoming calls to the appropriate department or individual, taking messages when necessary and passing them on.
Escort Visitors: If needed, ensure visitors are escorted to the appropriate departments or individuals.
Mail Management: Collect, stamp, sort, and forward all incoming mail to the relevant departments or individuals.
Record Keeping: Maintain records of mail, phone logs, and other administrative documents.
Administrative Support: Assist the administration team with tasks assigned by the Admin Team.
Beverage Service: Manage the provision of drinks to visitors and clients.
Maintain Cleanliness: Ensure the waiting area and meeting rooms are clean and conduct regular checks to ensure all facilities are in working order.
Courier Payments: Assist in processing payments for courier services.
Skills and Qualifications
Minimum 1 year of relevant experience, preferably in a customer-facing or administrative role.
Diploma in a related field or equivalent
Proficiency in English and Bahasa Malaysia (essential).
Personal Attributes
Strong understanding of Front Desk – Administrator duties, including managing front desk operations and providing excellent customer service.
Good communication and interpersonal skills, with a friendly and professional demeanor.
Excellent organizational skills and the ability to manage multiple tasks and priorities effectively.
Strong analytical and problem-solving abilities.
Punctual, reliable, and well-groomed with a positive attitude. Proficient in using office equipment (e.g., telephone systems, photocopiers) and basic software (e.g., Microsoft Office).
A proactive team player with the ability to work independently when required.
