Front Desk & Client Experience Manager for Aesthetics Practice Jobs in Encinitas, CA at PREVA aesthetics
PREVA is a rapidly expanding aesthetics practice looking for an experienced, proactive, and professional Client Experience Manager to lead the front office operations at our Encinitas location. This position is ideal for someone who thrives in a fast-paced environment, loves aesthetics, and wants to grow with a dynamic company that is redefining the Med Spa experience.
You’ll be the first point of contact for our clients and will own their journey from the moment they book an appointment to post-visit follow-ups. We’re looking for someone who takes initiative, handles high-pressure situations with grace, and always brings a warm, polished presence to the front desk. Med spa experience is a must.
Responsibilities:
Manage the full client experience — from initial inquiry to post-treatment follow-up
Answer and manage calls, emails, texts, and DMs with professionalism and warmth
Schedule and reschedule clients, ensuring the calendar is always full and optimized
Use and maintain Excel sheets and client tracking tools to support booking and communication workflows
Proactively reach out to clients to fill open spots and reduce gaps in the schedule (this is your #1 priority)
Address and resolve client concerns promptly and professionally
Maintain a polished front desk environment with strong attention to detail and hospitality
Educate clients on available services and guide them toward treatments best suited to their needs
Work closely with providers to ensure smooth daily operations and communication
Bring fresh ideas, systems, and improvements to help our practice thrive
Understand and use aesthetic terminology and demonstrate knowledge of common treatments
Be a reliable, consistent team player with a long-term mindset and growth-oriented attitude
Reports to the Director of Operations
Will oversee front desk operations
Qualifications:
1+ year experience in a med spa or aesthetic practice is required
Previous experience in front desk, reception, or office management
Comfortable with sales conversations and guiding clients through service offerings
Confident communicator with excellent phone, written, and in-person communication skills
Strong time-management and multi-tasking ability in high-pressure environments
Proficient in Excel and tech-savvy with booking systems and digital communication
Self-motivated and able to work independently while contributing to a team
Job Type: Full-time
Pay: From $24.00 per hour
