Position Summary:
The Front Desk Coordinator at Total Rehab Orthopedic & Sports Specialists plays a key role in creating a warm, professional, and efficient front office experience for our patients and families. This individual manages scheduling, patient intake, insurance coordination, and supports our clinical team in maintaining a smooth daily flow. As the first point of contact, the Front Desk Coordinator sets the tone for a high-quality, patient-centered experience aligned with Total Rehab’s commitment to excellence in care.
Key Responsibilities:
Patient Experience & Communication:
Greet patients and visitors warmly, creating a welcoming and professional environment
Manage patient check-in and check-out procedures
Answer and route phone calls promptly and accurately
Serve as a knowledgeable, courteous liaison between patients and clinical staff
Scheduling & Coordination
Schedule and confirm patient appointments across multiple providers and locations
Coordinate provider schedules and assist with same-day changes to maintain efficiency
Track cancellations and rescheduling to ensure full use of appointment availability
Administrative & Office Support
Accurately collect and enter patient demographic, insurance, and referral information
Verify insurance benefits and obtain authorizations as required
Collect co-pays and payments; reconcile daily deposits and maintain records
Maintain organized and HIPAA-compliant front office records and files
Assist with intake forms, WebPT system entries, and support documentation
Collaborate with team members to ensure clinic flow, cleanliness, and supply availability
Qualifications:
High school diploma or equivalent required
1–2 years of front office, customer service, or administrative experience (healthcare setting preferred)
Proficient in Google Workspace (Docs, Sheets, Calendar) and EMR systems (WebPT or Net Health preferred)
Excellent communication and interpersonal skills
Detail-oriented with strong organizational skills
Ability to multi-task and work effectively in a fast-paced team environment
Preferred Skills:
Experience in outpatient physical therapy, orthopedic, or sports medicine clinics
Familiarity with insurance verification and prior authorization processes
Understanding of HIPAA compliance and patient confidentiality
Basic knowledge of medical terminology and billing procedures
Work Environment:
Front office area in a busy outpatient physical therapy clinic
Frequent interaction with patients, families, and clinical staff
Occasional lifting of office supplies or clinic equipment
Must be comfortable working on a computer for extended periods
