Role Outline: The Front Desk Executive acts as the face of the organization and plays a crucial role in creating a seamless and professional experience for clients, visitors, and internal stakeholders. This position blends reception duties, facility coordination, administrative support, and customer satisfaction management in a fast-paced real estate environment. The individual also acts as a backup for leasing tours, supports HR & admin tasks, and manages front office operations using digital tools.

Key Responsibilities

Reception & Visitor Management

  • Welcome and direct visitors with courtesy and efficiency, ensuring a premium first impression. Operate visitor management software for check-ins, ID badge issuance, and hospitality arrangements.
  • Manage incoming calls and route them promptly to relevant personnel.
  • Supervise reception operations maintaining a polished and inviting front desk area.

Facility Management & Housekeeping Oversight

  • Conduct regular walkthroughs of the lobby, common areas, and washrooms to ensure high standards of cleanliness aesthetics, and functionality. Ensure office spaces remain consistently well-maintained, organized, and visually appealing at all times.
  • Promptly identify any maintenance issues or breakdowns during routine checks and ensure timely coordination for swift resolution to minimize disruption.
  • Coordinate daily housekeeping schedules, track inventory, and raise requisitions through the purchase department.
  • Ensure replenishment of first aid supplies and oversee timely pest control, fragrance systems, and AMC renewals.
  • Monitor EV charging points and coordinate app-based charging operations for visitors and employees.
  • Escalate Facility issues and property misuse by the tenants to control the situation well in time.

Client Interaction & Complaint Management

  • Interact with corporate clients on a daily and weekly basis to gather feedback on facility standards.
  • Utilize software to log, monitor, and ensure prompt resolution of complaints and service requests.
  • Compile monthly reports summarizing client concerns, observations from rounds, and resolution status.

Administrative Support

  • Maintain stationery stock, perform regular inventory checks, and coordinate with the procurement team.
  • Generate monthly reports for restaurant and café or other associated partner and submit them to management for review.

Leasing Support & Property Showcasing

  • Step in during leasing team absence to escort potential tenants and provide basic information about the property.
  • Ensure that showcased spaces are well-presented, clean, and ready for client visits.

Facility Liaison & Maintenance Coordination

  • Liaise with horticulture teams to uphold landscaping standards and report discrepancies.
  • Collaborate with parking, lighting, and maintenance vendors to address infrastructure-related issues.
  • Renew applicable AMC contracts and ensure uninterrupted services across building facilities.

Key Skills and Experience

  • Bachelor’s degree in any discipline; Diploma or certification in office management, hospitality, or administration is advantageous.
  • 3–5 years of experience in front desk operations, facilities, or administrative support, preferably in real estate or corporate environments.
  • Proficient in MS Office, visitor management tools, and facility management system.
  • Excellent communication skills with a client-first mindset and professional demeanour.
  • Strong multitasking capabilities, organizational efficiency, and attention to detail.
  • Ability to handle sensitive information discreetly and respond promptly to dynamic requirements.
