Job Summary :

The Front Desk Executive serves as the first point of contact for visitors, clients, and employees, ensuring a professional and welcoming experience. The role involves managing the reception area, handling incoming calls and correspondence, coordinating visitor management, and providing administrative support to ensure smooth day-to-day office operations.

Key Responsibilities:

Reception & Visitor Management

Greet and welcome visitors, clients, and guests in a professional manner.

Manage visitor registrations, issue visitor passes, and maintain visitor records.

Coordinate with concerned departments regarding visitor appointments and meetings.

Ensure reception and waiting areas are clean, organized, and presentable at all times. Telephone & Communication Management

Handle incoming calls, screen and direct calls to appropriate personnel.

Take messages and ensure timely communication to concerned employees.

Respond to general inquiries from visitors, vendors, and employees. Administrative Support

Manage incoming and outgoing mail, courier services, and deliveries.

Maintain records of office supplies and coordinate replenishment as required.

Assist in scheduling meetings, booking conference rooms, and coordinating logistics.

Support administrative and HR teams with routine documentation and coordination tasks. Office Coordination

Coordinate with housekeeping, security, and facility management teams to ensure smooth office operations.

Monitor reception area facilities and report maintenance issues when necessary.

Assist in organizing company events, meetings, and employee engagement activities. Record Keeping & Compliance

Maintain accurate records of visitors, couriers, and office-related documentation.

Ensure adherence to company security protocols and visitor management procedures.

Support compliance with office policies and administrative processes. Required Qualifications

Bachelor's degree in any discipline.

1–3 years of experience in front office, reception, or administrative roles (corporate office experience preferred).

Fresh graduates with excellent communication skills may also be considered. Required Skills & Competencies
