About the Role
We’re seeking a polished and proactive Front of House / Office Administrator to be the welcoming face of our office. In this role, you’ll work closely with our Executive Assistant to ensure a warm, professional environment and support seamless office operations.
This role is perfect for someone with a background in luxury customer service, has a keen eye for presentation, a proactive approach, and a genuine care for people and their environment. While office admin experience is valued, it’s your attitude and willingness to learn that will set you apart.
Key Responsibilities
Â
Front of House & Boardroom Management
Greet visitors warmly and professionally, creating a welcoming atmosphere
Answer and direct phone calls (low volume) and handle general inquiries
Manage boardroom scheduling, setup, and cleanliness to a high standard
Office Administrative Support
Provide general administrative support, including monitoring multiple inboxes and sorting mail
Maintain tidy and organised office records, both digital and physical
Organise and maintain office supplies, ensuring everything is well-stocked and presented
Keep shared spaces clean and well-presented, proactively handling tasks such as unpacking/packing the dishwasher, wiping down benches, and refreshing snacks
Department & Executive Assistant Support
Support the Executive Assistant and assist the Director with personal errands and ad hoc requests
Assist accounts and other departments with filing, lodging of documents, and administrative tasks as required
Communication & Coordination
Communicate clearly and effectively with team members and external stakeholders
Relay messages promptly and accurately, ensuring smooth information flow within the office
What We’re Looking For
Previous experience in luxury customer service (e.g., airline cabin crew, luxury retail, high-end hospitality)
Impeccable personal presentation and a polished, professional manner
A proactive approach—someone who takes ownership and anticipates needs before they arise
A genuine care for the spaces you’re responsible for and the wellbeing of those who use them
Strong organisational skills and an ability to juggle multiple tasks seamlessly
Willingness to learn and support a team-focused environment
Basic familiarity with office systems (e.g., Microsoft Outlook, Teams) is helpful
