Position Overview
The role plays a vital role in supporting the daily operations and overall experience at Amherst Madison. As the first point of contact for agents, clients, and guests, this position sets the tone for professionalism, hospitality, and operational excellence within the office.
This role ensures that the office environment remains welcoming, organized, fully stocked, and aligned with the high standards of the Amherst Madison brand. This role supports agents and staff by maintaining smooth front desk operations, coordinating shared spaces, and proactively managing the details that contribute to an exceptional workplace experience.
Role Scope
This position is specifically focused on providing front desk and reception support. It is a part-time role designed to ensure smooth daily operations at the front desk and a welcoming office environment. Responsibilities are limited to those outlined in this job description; this role does not include management duties, agent support beyond standard reception tasks, or involvement in operational decision-making.
Key Responsibilities
- Serve as the primary point of contact for visitors, clients, agents, and staff, maintaining a welcoming, professional, and reliable presence in the reception area.
- Maintain a polished, organized, and presentation-ready office environment, including reception, café, training rooms, conference rooms, restrooms, hospitality areas, and shared spaces.
- Oversee office hospitality areas and shared supplies, including coffee bars, café spaces, beverage stations, office supplies, kitchen supplies, and restroom supplies.
- Provide daily operational and technical support to agents and staff, including basic troubleshooting for office systems, technology tools, printer stations, conference room technology, and office equipment.
- Add and remove agents from company platforms and systems, including accurate data entry, account setup, profile updates, and access deactivation as agents join or leave the brokerage.
- Coordinate conference and training room reservations, ensuring spaces are properly prepared, reset, and ready for use.
- Complete daily opening and closing procedures to ensure the office is prepared and ready for business.
- Support company events and trainings by coordinating logistics, preparing spaces, and ensuring operational needs are met.
- Maintain strong working knowledge of commonly used office platforms and systems, including G Suite, Slack, Zoom, wireless networks, display monitors, printers/scanners, and phone systems.
- Assist with Shopify order fulfillment, including retrieving purchased materials, preparing orders for pickup, and notifying agents when items are ready. Support agent sign check-in/check-out separately as needed.
Qualifications & Attributes
- Strong organizational skills with high attention to detail and the ability to manage multiple responsibilities with consistency and efficiency.
- Professional written and verbal communication skills with a service-oriented, solutions-focused approach.
- Tech-savvy and comfortable using standard office technology, including Google Workspace, calendars, Slack, Zoom, Dropbox, Microsoft Office, and general office equipment.
- Self-motivated, dependable, proactive, and able to adapt quickly to changing priorities.
- Experience in administrative, customer service, office management, or operations-related roles preferred.
Physical Demands & work Environment
This is an in-office position with moderate noise and daily interaction with agents, staff, clients, and visitors. The role requires consistent movement throughout the building, including sitting, standing, bending, typing, and light lifting of supplies up to 50 lbs.
This position is expected to maintain a professional presence, contribute positively to office culture and team morale, and support a polished, service-oriented workplace experience that reflects Amherst Madison’s brand standards.
