Overview
Healthcare Administrative Coordinator Jobs in Colorado at Harmonie House
Healthcare Administrative Coordinator – Fully Remote
We are a growing Colorado nonprofit healthcare provider seeking an experienced Healthcare Administrative Coordinator to serve as our primary front-office point person and support our day-to-day administrative operations.
This is a full-time, fully remote position working Monday–Friday, 8:00 a.m.–5:00 p.m. Mountain Time. Consistent availability during these hours is essential. Colorado residency is strongly preferred, as familiarity with Colorado’s healthcare, Medicaid, HCBS, home health, and community resource systems is highly valuable in this role.
Our organization provides Medicaid-funded HCBS/PASA and home health services to individuals with disabilities. We are looking for someone with prior home health and/or PASA experience who understands the importance of accurate records, responsive communication, scheduling, and follow-through in a healthcare environment.
What You’ll Do
- Serve as the primary point of contact for clients, families, caregivers, and employees during business hours.
- Answer incoming calls and monitor and respond to email.
- Conduct routine client/family check-ins and document all contacts and follow-up.
- Assist clients and families with navigating resources and connecting with appropriate supports.
- Coordinate client and caregiver/employee scheduling and schedule changes.
- Complete accurate data entry and maintain information within the EHR.
- Create and maintain records for new and existing clients.
- Support client intake and onboarding, including collecting and tracking required documentation.
- Track required forms, signatures, credentials, training, and expiring documentation.
- Routinely review client and caregiver/employee files for completeness and accuracy.
- Identify missing or incomplete documentation and follow up until resolved.
- Help ensure questions, requests, and concerns reach the appropriate team member and are followed through to completion.
- Provide general administrative and organizational support to the team.
Required Qualifications
- At least 2 years of relevant healthcare administrative experience.
- Prior professional experience in home health and/or PASA services.
- Hands-on experience using an EHR/EMR.
- Healthcare data-entry and electronic record-management experience.
- Client/patient and caregiver/employee scheduling experience.
- Experience maintaining client/patient records and required documentation.
- Strong computer and technology skills.
- Excellent written and verbal communication.
- Exceptional organization, accuracy, and attention to detail.
- Strong follow-through and ability to independently manage multiple priorities.
- Ability to reliably work Monday–Friday, 8:00 a.m.–5:00 p.m. Mountain Time.
- Reliable high-speed internet and a private workspace appropriate for handling confidential healthcare information.
Preferred Experience
- Colorado residency.
- Colorado Medicaid/Health First Colorado or HCBS waiver experience.
- Client intake and onboarding.
- Caregiver/employee record and credential tracking.
- Healthcare record auditing or quality assurance.
- Experience working with individuals with disabilities and their families.
- Familiarity with HIPAA and healthcare confidentiality requirements.
Who We’re Looking For
We need someone who enjoys being the person others can rely on. You should be comfortable answering calls, helping clients and employees, coordinating schedules, and solving routine administrative issues while also staying on top of the behind-the-scenes work.
When things are quiet, you should naturally move to updating the EHR, completing data entry, reviewing records, obtaining missing documents, auditing files, and following up on outstanding items.
We are looking for someone who notices when something is missing, incomplete, or waiting for attention—and takes ownership of moving it toward resolution.
