Human Resource Administration
- Manage the full employee lifecycle, including onboarding, confirmation, transfers, resignations, and offboarding.
- Prepare employment contracts, confirmation letters, warning letters, HR correspondence, and other employment-related documents.
- Maintain accurate employee records and ensure HR files are up to date.
- Coordinate recruitment activities, including job postings, interview scheduling, candidate communication, and onboarding preparation.
- Monitor probation reviews and ensure managers complete evaluations on time.
- Assist with performance review administration and HR documentation.
- Coordinate employee training and maintain training records.
- Support employee engagement activities and internal communications.
- Ensure compliance with the Employment Act and company policies.
Payroll & Leave Administration
- Maintain attendance, leave, and employee information in HR systems.
- Prepare payroll information for processing and verify payroll accuracy before submission.
- Process claims and ensure supporting documents are complete.
- Coordinate statutory submissions and maintain payroll documentation.
Office & Administration
- Manage office administration, supplies, equipment, and vendor coordination.
- Coordinate company insurance, licences, renewals, and subscriptions.
- Organise meetings, company events, and internal activities.
- Ensure company records and administrative documents are properly maintained.
- Support management with administrative projects and business operations.
Process Improvement
- Review existing HR and administrative processes and recommend improvements.
- Develop and maintain SOPs, templates, and documentation.
- Identify inefficiencies and propose practical solutions.
- Ensure consistency across HR and administrative practices.

Requirements
- Diploma or Bachelor’s Degree in Human Resources, Business Administration, Management, or a related field.
- Minimum 2 years’ experience in HR and administration.
- Good knowledge of Malaysian Employment Act and HR best practices.
- Experience using kakitangan is an advantage.
- Proficient in Microsoft Office and Google Workspace.
- Excellent organisational and documentation skills.
- Strong problem-solving and critical thinking abilities.
