The HR Assistant – HR Operations provides critical administrative and operational support across the full employee lifecycle. This role ensures smooth day-to-day HR operations, maintains accurate employee data, assists with onboarding/offboarding logistics, and serves as a reliable first point of contact for employee inquiries regarding company policies and administrative procedures.
Key Responsibilities
- Assist to update employee records, HR databases, and HRIS systems to ensure data accuracy and compliance.
- Assist to Process employee transactions, including new hires, transfers, separations, and contract renewals.
- Assist the end-to-end onboarding process for new joiners (e.g., preparing welcome packages, scheduling orientation sessions, system access requests, IT assets allocation).
- Assist offboarding administrative procedures, including exit checklists, exit interview, clearance forms, and documentation.
- Assist daily attendance logs, leave records, and overtime submissions in accordance with company policy.
- Assist in compiling monthly payroll inputs (e.g., unpaid leave, allowances, overtime data, new joiner/pro-rata calculations).
- Assist to prepare standard HR documentation, such as employment contracts, confirmation letters, employment verification letters, and organizational announcements.
- Organize and maintain digital and physical employee personnel files (p-files) following data privacy guidelines.
- Assist with statutory compliance requirements, such as social security filings, labor office reporting, and contract registrations.
- Support the tracking and processing of HR department invoices and vendor payments.
- Assist with logistics and coordination for employee engagement activities, team-building events, and corporate initiatives.
Requirements
- Diploma/ Certificate in Human Resources, Business Administration, Management, or a related field.
- 0–2 years of experience in HR administration or operational roles (fresh graduates with relevant internship experience in HR operations are encouraged to apply).
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
- Fundamental understanding of basic local labor laws, leave regulations, and statutory compliance requirements.
- Willing to work under pressure
