Position Purpose: The Human Capital Office Assistant provides essential clerical support to the Human Capital department and District Office by managing visitor interactions, processing new hire paperwork, and assisting with volunteer applications and background checks. This position also assists with data entry for payroll, employee records, and evaluations to ensure accurate and efficient documentation.
Responsibilities
1. Clerical Support: performs work of a general office nature that assists with the efficient operation of the Human Capital office and district office.
Priority: Essential | Percent of Time: 50%
Examples of this work include:
Greets and directs visitors, operates the main district phone line in directing calls, and answers visitors’ inquiries regarding the District.
Schedules and processes new hire employment paperwork, prints badges/assigns FOBS, verifies legal forms are completed (W-4, I-9, Compliance), and creates orientation handouts.
Works with schools to process volunteer applications and background checks for the Lunch Buddy program, coaches, and field trips.
Supports the IT Department with getting professional staff set up and logged in with laptops.
Assists with the retirement process by printing and assembling packets, creating information letters, activity passes, and retirement gifts.
Maintains contracted and student teacher workflows; acts as the liaison for universities and student teachers and completes the onboarding processes for both contractors and student teachers.
Distributes the building mail and community/district flyers.
Manages and updates the PERS and Trollwood tracking spreadsheets.
Updates Labor posters and sends updated information to schools and buildings.
Files paper and electronic records including contracts, records requests, background checks, and other sensitive documentation.
Maintains electronic staff directories for the District office and all schools.
Monitor CJIS training expiration dates to ensure certificates are filed electronically and up to date for staff with background check access.
2. Data Entry: enters and updates information utilizing various software and the district’s business management software.

Examples of this work include:
Enters information into payroll system to generate a Fargo Public Schools ID. Creates username/e-mail address for new employees using Active Directory. Enters additional information as assigned.
Processes employee address changes and legal name changes submitted through Employee Self Service.
Assists with entering evaluations for non-certified staff and uploading them into electronic files as needed.
3. Other duties as assigned.
Priority: Secondary | Percent of Time: 10%
Examples of this work include:
Assists with Human Capital projects.
Participate in the building’s emergency response team (BERT) and maintain ALICE Training certification.
Schedules use of meeting rooms in the District Office as needed.
Attends professional development training as needed and as required.
Knowledge, Skills, and Abilities
Minimum Qualifications
High school diploma or GED.
One year of office/clerical work experience.
Strong computer skills, especially Microsoft Office Outlook.
Experience working respectfully and collaboratively with diverse populations.
Strong verbal and written communication skills, including the ability to convey information clearly, professionally, and effectively across various formats and audiences.
Demonstrated ability to take initiative to complete tasks.
Preferred Qualifications
An Associate’s degree or coursework in the field of Human Resources, Business Administration, Paralegal, or related fields.
Previous Human Resources experience.
This position reports to: Chief Human Capital Officer
Personal contact with staff, administrators, principals, department heads, prospective employees, and the general public, is an essential part of the position and requires the ability to share information and advise on issues. It involves working as a team player with the employees of Fargo Public Schools, outside agencies, new on-boarding employees, and the general public. The position handles highly confidential and private data and must be sensitive to people and their needs.
Communication with employees is done in a timely manner. Problem solving may include resolving questions from the general public and FPS employees. Issues of a significant nature will be forwarded to the appropriate administrator. Other problems are concerned with prioritizing scheduled work assignments so that each task is accomplished within the time limits established in a constantly changing work environment. It is important the incumbent be able to identify problems and resolve them promptly, tactfully and objectively.
