Job Summary:
The HR Executive will support the Human Resources department by handling a variety of tasks related to employee movement, attendance management, payroll, claims & allowances processing. The role requires meticulous attention to detail, effective communication with staff, and the ability to maintain accurate records.
Key Responsibilities:
Employee Documentation:
- Prepare and issue various employee letters (e.g., Promotion, Confirmation, Transfer, Show Cause, Acceptance of Resignation & Letter of Acceptance).
- Document correspondence and ensure proper filing by updating employee files
- Track the status of signed letters and maintain an accurate records.
Attendance Management:
- Monitor staff attendance, checking for leave, off days or absences.
- Payroll, Commission, Claims, Referral Incentive and Allowances:
- In charged of monthly payroll process, encompassing leaves, allowances, incentives, commissions, claims, deductions, overtime, and statutory contributions (EPF, SOCSO, Income Tax, HRDF).
- Ensure precision and punctuality in payroll calculations, processing, and compliance with statutory submissions by computing & compiling the commissions, incentives, allowances, claims, leaves, and deductions, facilitating seamless updates in the payroll system.
- Manage the Referral Incentive program by tracking referred employees’ progress and eligibility.
- Manage employee personal files within the payroll system and internal drives, ensuring confidentiality and compliance.
Asset and Inventory Management:
- Manage the inventory of uniforms, access cards, laptops, and other company assets.
- Issue, track, and maintain records of these items for all employees.
- Coordinate the return of assets when employees leave the company.
Additional Assignment:
- Take on any assignments or tasks from the superior as required, ensuring timely and effective completion.
Requirements:
- A diploma or degree in Human Resources or a related field is preferred.
- At least 1-2 years of work experience as a HR generalist in the retail industry will be an advantage.
- Understanding of relevant local labor laws and regulations to ensure compliance in HR practices.
- Previous experience in HR support roles is an advantage.
- Familiar with Rymnet HRMS system will be an advantage.
- Strong organizational skills and attention to detail.
- Proficient in using HR and inventory management software.
- Good communication skills.
- Required language(s): Mandarin, English and Malay
