Job Purpose:

The HR Administrative Assistant provides administrative support to the Human Resources team, handling day-to-day clerical work that keeps HR operations running smoothly. It is an ideal entry point for someone organized, detail-oriented, and eager to grow within HR.

Key Responsibilities:

• Respond to routine employee inquiries and direct more complex questions to the appropriate HR team member.

• Assist with scheduling, interviews, and appointments, managing calendars and arranging logistics for HR events and training sessions.

• Draft HR communications and announcements on behalf of the team.

• File paperwork promptly and ensure confidentiality of all personnel records.

• Conduct periodic file audits to confirm completeness and proper documentation.

• Initiate the new hire process, including preparing paperwork, new hire packets, and onboarding materials. • Collect, review, and process new hire documentation.

• Coordinate first-day logistics and input employee information accurately into the HRIS.

• Process and track HR-related invoices, verify accuracy, and route for approval and payment.

• Sort, organize, and distribute incoming mail to the appropriate HR staff and departments.

• Prepare and process outgoing mail, including time-sensitive and confidential correspondence.

Minimum Requirements:

• A college degree is preferred; candidates pursuing or planning to pursue a Bachelor’s degree are viewed positively.

• 1+ year of administrative or clerical experience; prior HR or invoice processing experience preferred. • Strong attention to detail and accuracy.

• Proficiency in Microsoft Office.

• Excellent organizational skills and the ability to handle confidential information with discretion.

• Reliable, professional, and able to manage multiple tasks in a fast-paced environment.
