Optimized Consulting has been engaged by a multi-unit retailer specializing in beauty and wellness services. Their brand is known for delivering high-end client experiences in a fast-paced, customer-centric environment.

The client is looking for a HR Coordinator/Assistant to serve as the operational hub for the Company’s regional office and salons, providing high-level administrative, HR, and systems support to the Owner and Salon Managers.

Key Responsibilities

Office & Executive Support – Manage calendars, calls, travel, vendor relations, invoices, payroll, and company-wide correspondence; draft letters, presentations, and reports.

Talent Acquisition & HR – Screen candidates, conduct video interviews, coordinate in-person interviews, issue offers, complete onboarding, maintain digital/physical personnel files, track PTO/FMLA, and prepare performance or termination documentation.

Policy, Training & Documentation – Create/update handbooks, SOPs, training manuals, and company forms; communicate policy changes.

Systems Administration – Maintain Tan-Link POS, scheduling, payroll, and communication platforms; build custom reports and data visuals for management.

Financial & Cash Control – Verify daily cash deposits, reconcile expense reports, run weekly payroll, and monitor store schedules against payroll budgets.

Inventory & Procurement – Approve and place product/supply orders, track corporate stock, adjust inter-store transfers, and coordinate equipment upkeep and vendor repairs.

Customer Service Oversight – Support Guest Services team, respond to escalated emails/voicemails, and model “win-win” luxury-level service standards.

Qualifications

Proven administrative or HR coordination experience, strong systems aptitude, excellent written/verbal communication, discretion with confidential data, and the creativity to streamline processes and drive operational efficiency.

Benefits & Perks

The expected salary range for this role starts at $45,000 per year, but may differ based upon the candidate. Salary presented with a job offer will be based on factors such as calibrated job level, educational background, prior work experience, qualifications, skills, competencies, and proficiency for the role
