Human Resources and Payroll Coordinator
General Responsibilities
The Human Resources and Payroll Coordinator plays a vital administrative and coordination role in supporting both the Human Resources and Payroll Departments of the school district. This position is responsible for managing the accurate entry and maintenance of employee data and records, overseeing benefits enrollment, ensuring alignment with union agreements, and facilitating the integration of HR and payroll processes such as onboarding, salary adjustments, leave tracking, and certification management. The coordinator ensures timely communication of employee status changes, supports audit compliance, and prepares recurring reports. They also conduct new hire orientations, manage exit procedures, and lead initiatives to improve employee experience and administrative efficiency across HR and Payroll operations.
Minimum Qualifications
Experience
● A bachelor’s degree is preferred; however, administrative experience overseeing complex operational systems may be substituted for postsecondary education on a year-for-year basis.
● A minimum of five years of administrative experience in Human Resources and Payroll is required.

Administrative Leadership
1. Oversee the accuracy and timeliness of HR and payroll data inputs into systems such as iVisions.
2. Coordinate with HR and Payroll teams to resolve discrepancies in employee records, salary placement, leave balances, or deductions.
3. Track key performance metrics across HR and Payroll (e.g., onboarding timelines, payroll accuracy).
Strategic Coordination with Payroll and CFO
4. Ensure payroll deadlines and employee status changes (e.g., new hires, separations, LOA) are communicated timely to the Payroll/Finance office.
5. Support the CFO by facilitating accurate setup and maintenance of benefits and salary structures in alignment with union contracts.
6. Liaise during audits or data requests (e.g., subpoenas, garnishments) to ensure proper HR support.
HR Systems and Process Integration
7. Coordinate the integration of HR processes with payroll systems — i.e., salary step changes, certifications, and FTE adjustments.
8. Maintain consistent updates between HR and Payroll for: Retirement and benefit eligibility, Sick leave bank coordination
9. Maintain current records of staff certification/license expirations impacting salary/position eligibility
New Hire and Exit Coordination
10. Ensure new hire records are compliant and synchronized with payroll setup (benefits, annuities, FTE, salary, deductions).
11. Conduct new employee orientations with an emphasis on benefit elections and payroll timelines.
12. Provide structured exit processing including documentation, benefits separation, and payroll closure.
Compliance and Documentation
13. Maintain current knowledge of bargaining agreements and ensure correct application in both HR and Payroll contexts.
14. Work with Payroll and HR teams to ensure legal compliance for recordkeeping and data accuracy (e.g., FMLA, ACA reporting).
15. Maintaining current records of Mandatory training for all staff
16. Serve as administrative lead for HR and Payroll audits.
Reporting and Records Maintenance
17. Prepare recurring reports such as salary placement audits, benefit usage summaries, and staffing turnover reports.
18. Ensure confidential personnel files are current and securely maintained.
19. Special Projects and Initiatives
20. Coordinate employee recognition programs in partnership with HR and Payroll (e.g., longevity benefits).
21. Implement enhancements to employee onboarding, offboarding, and portal self-service.

Unusual Working Conditions
Work is performed in a normal office setting. There are no unusual demands of the position. Position is mostly sedentary with extended periods sitting at desk/computer.

Annual written evaluation.
Job Type: Full-time
Pay: $78,801.00 – $102,894.00 per year
