JOB TITLE: Human Resource (HR) Assistant

DEPARTMENT: Human Resources

REPORTS TO: Human Resources Officer

PART-TIME (60 hours/pay period)

JOB SUMMARY

HR Assistant supports the Human Resources Officer, HR Generalist, Recruiter, Employee Health and Planetree. The Human Resource Assistant will perform administrative tasks and services to support effective and efficient operations of the organization’s human resource department.

JOB REQUIREMENTS

High School graduate or equivalent GED preferred.

Associates degree in related field or equivalent experience preferred.

EXPERIENCE

Exceptional customer service experience.

Prior related office experience preferred.

Must possess a high degree of confidentiality of all matters with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
Must have strong interpersonal skills with the ability to communicate with staff and public in a friendly, courteous and helpful manner.
Must have excellent organizational skills with the ability to multi-task.
Strong verbal and written communication skills.
Strong computer and keyboarding skills.
Must be proficient in the use of Microsoft Office Suite products knowledge including Word, Excel and Outlook.
Proficient with or the ability to learn human resource information system (HRIS), and similar computer applications.
Must have critical thinking skills.
Accurate and systematical filing skills.
Detail oriented.
Exceptional phone etiquette.

ESSENTIAL FUNCTIONS

Provide clerical support to the HR department.
Assist HR Generalist as a backup and assistant as needed including but not limited to:
Setup of new employee HR files.
Maintain accurate and up-to-date human resource files, records, documentation and archive files.
Assist HR Generalist to perform periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately as needed.
Maintain the integrity and confidentiality of human resource files and records.
Employee Benefit enrollment and record keeping.
Attend Benefits Committee Meetings.
Act as a backup to Recruiter and HR Generalist to track and verify certifications/licensures.
Act as a backup in HR Generalist absence to provide verbal verifications of employment to employers and lending institutions, DFS, etc. per established procedures.
Support HRO as requested with tasks including but not limited to:
Employee Satisfaction Surveys.
Assist with generation of committee minutes.
Assist with Living the Mission as needed.
Assist Recruiter in monitoring and retrieving new employee onboarding paperwork as requested.
In absence of both the Recruiter and HR Generalist will assist with tasks including but not limited to:
Screening and routing new applicants to appropriate Hiring Officers.
Behavioral Assessment initiation and tracking.
Application related correspondence.
Reference initiation and tracking.
If a candidate offer needs to be made in absence of Recruiter, provide resume and application to HRO to review candidate’s work history and applicable years of experience. HRO will determine salary/wage quotes which Assistant will provide to Hiring Officer for offer.
Hire candidates through HRIS system.
Onboarding document assignment and tracking.
Initiation of Background screening.
Answer candidate questions.
Act as a backup to Employee Health for FMLA.
Assist with New Employee Orientation.
Assist with Planetree Coordinator as needed.
Assist Employee Wellness Coordinator as needed.
Order office supplies for department.
Daily is responsible for both internal and external mail pick up and distribution for HR department (i.e. HR, Employee Health, Planetree, Employee Wellness).

SECONDARY FUNCTIONS

Perform other duties as assigned.
