Position Overview

The Human Resources Coordinator supports the daily operations of the HR department by facilitating HR programs, maintaining records, coordinating recruitment efforts, benefits administration, and compliance. This role is ideal for a detail-oriented and service-driven individual looking to grow in the HR field.

The HR Coordinator will have the following knowledge, skills, and abilities:

Knowledge:

Knowledge of principles and processes for providing good customer services.
Knowledge of payroll process and timekeeping system.
Must have knowledge of wage and hour laws and IRS guidelines.
Proficient in Microsoft Office (MS Word, Excel, and Outlook)
Knowledge of human resources laws and compliance with local, state, and federal requirements.

Abilities:

Duties and Responsibilities

Coordinate recruitment efforts including posting job openings, scheduling interviews, and communicating with candidates.
Assist with onboarding and offboarding processes, including preparing new hire paperwork and conducting orientation.
Support benefit administration including enrollments, changes, and answering employee questions.
Assist with updates, filing, maintaining personnel files, job descriptions, performance evaluations, manuals, I-9s, E-Verify, DJJ SVS, Florida New Hire Reporting and other HR logs.
Analyze, prepare, and input payroll data for new hires, personnel changes, terminations, including garnishments and other deductions.
Monitor and troubleshoot timekeeping data in ADP to ensure accurate and timely recording of time worked each pay period, as requested by HR Director.
Conduct quarterly personnel file audits to ensure references, motor vehicle records and other personnel file documents are accounted for and up to date.
Assist with COA, DJJ, DCF and other agency audits.
Initiate the processing of applications, pre-employment paperwork, background screening requests. Assists with new hire orientation and maintaining an up-to-date background screening log.
Ensure that necessary application and background screening is conducted for employees, Interns and volunteers in accordance with state guidelines.
Coordinate training schedules for new and existing employees in collaboration with the HR Generalist, Department Heads and other appropriate trainers, as needed.
Administration of training calendars and recordkeeping of completed training in a training database. Gain familiarity with DJJ, CINS/FINS and DCF training requirements and updates.
Monitor and maintain training files, reports, and logs to ensure compliance with Department of Juvenile Justice (DJJ), Children or Families in Need of Services (CINS/FINS), Department of Children and Families (DCF) and other entities as needed.
Assist in planning and executing employee engagement activities and events.
Ensure confidentiality and compliance with employment laws and internal policies.
Provide general administrative support to the HR team.
All other duties as assigned.

Education and Experience

Associate’s or Bachelor’s degree in Human Resources, Business Administration, or related field preferred
1–3 years of experience in HR or administrative support role
Working knowledge of HR practices, labor laws, and basic HR functions preferred
Proficiency in Microsoft Office Suite and ADP HRIS systems
Strong attention to detail, organization, and follow-through
Excellent verbal and written communication skills
Ability to handle sensitive information with discretion
Team-oriented with a proactive and customer-focused mindset

Mathematical Skills and Reasoning Ability

Moderate to advanced computational and analytical skills to calculate benefits deductions, salary changes, and timesheet corrections.

Physical Demands

This is a sedentary position, and the incumbent will be required to sit approximately 70 per cent of the time. Little to moderate lifting of less than 25 lbs. may be required.

Work Environment

The noise level in the work environment is usually moderate.

Monday – Friday, 9:00 AM to 3:30PM (30 hrs/week)
