POSITION DESCRIPTION
The Human Resources Generalist is responsible for performing a wide variety of both complex and routine administrative services on a professional level and works closely with the Chief Human Resource Officer in executing responsibilities in the following functional areas: HRIS Colleague, employee inquiries, benefits administration, compensation, recruiting, onboarding, and enforcement of policies and procedures as well as other special projects.
POSITION ACCOUNTABILITIES AND ESSENTIAL FUNCTIONS
Maintain HRIS Colleague and provide subject matter expertise on system capabilities, performance and data capture and identify process improvement to present appropriate solutions to the Chief Human Resource Officer.
Input and verify robust employee data information into HRIS Colleague which includes salary, benefit, tax exemption, demographic, general ledger, direct deposit changes, terminations and employee changes.
Manage and create stipend and assignment contract process each semester for Adjunct faculty-taught courses, independent studies, and full time faculty overloads.
Participate and assist with annual benefit open enrollment meetings and process annual benefit code amount updates and employee enrollments in HRIS Colleague.
Work closely and collaborate with the payroll office and ensure relevant employee data is accurate in the HRIS system for error free bi-weekly and semi-monthly payrolls.
Respond to employee inquiries regarding payroll and benefits, policies and procedures and general employee personnel issues.
Compile data in preparation for payroll and 403b audits.
Process new hire employment paperwork and onboarding tasks.
Process employment verifications and unemployment claims.
Assist in administration of the employment recruitment process by processing approved job postings on websites, inputting application information into the database, preparing evaluation rubrics, maintaining interview questions, managing interview processes, preparing offer letters, background and reference checks.
Assist in administration of leave of absence programs, including FMLA, STD, LTD, worker’s compensation and personal leaves. Serve as a resource to employees and managers on leave eligibility and all aspects of leaves.
Assist in disseminating communication of college policies & procedures to all stakeholders by facilitating employee training sessions and meetings.
Have a knowledge of and assist with compliance of state and federal labor laws including FLSA and ACA.
Work jointly with the financial aid office with the process of approving work study authorization forms and answer inquiries from work study students.
Process and file various governmental reports while adhering to strict deadlines as needed.
Process terminations.
Assist in the dissemination of HR communications to staff.
Assist the Human Resource Director in the preparation of correspondences; photocopies, and faxing documents.
Assist with developing and implementing new workflows relating to all aspects of the Human Resources office.
Manage HR email account.
Organize and maintain employee files.
Maintain I-9 files.
Order and maintain office supplies and equipment.
Process mail for department.
Actively work with staff in maintaining a positive employee relations climate.
Other duties as assigned.
QUALIFICATIONS AND EXPERIENCE
Bachelor’s degree in Human Resources or a related field required.
Knowledge of HRIS systems and Ellucian Colleague highly preferred.
A minimum of two years of Human Resources work experienced desired. Experience in talent management, leaves and benefits highly desired.
Present a welcoming and pleasant demeanor at all times.
Must have good attendance and be reliable.
Ability to work effectively with a diverse population of customers required.
Must have strong organizational skills, demonstrated ability to handle multiple tasks simultaneously, work independently, and the ability to meet deadlines for time sensitive assignments.
Must be able to maintain the highest level of confidentiality; ability to handle sensitive material concerning the organization.
Demonstrated strong oral and written communications skills with the ability to handle conflict and employee complaints. Must have excellent interpersonal relationship skills.
Ability to work in a team based work environment with frequent interruptions and changing priorities.
The ability to research and analyze various types of information.
Proficiency with MS Office, including Word, Excel, Access, Publisher, and Power Point required.
WORKING ENVIRONMENT
This job operates in a professional office and college campus environment. The noise level in the work environment is usually moderate. The employee is occasionally exposed to outside weather conditions.
PHYSICAL DEMANDS
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this Job, the employee is regularly required to maintain a stationary position, use a computer and other office equipment, and communicate effectively in person, by phone, and virtually. Frequent interaction with others, including staff, faculty, students and third parties is required. The employee may occasionally be required to move files or other objects weighing up to 25 pounds, including from low and high places. The ability to move around within the office and between buildings on campus, attend off-site meetings and events, and travel between Ford Campus site to Taubman Center site are required.
