Job Overview
We are seeking a detail-oriented and proactive HVAC Office Admin/Dispatcher to join our team. The ideal candidate will support the operations team in managing day-to-day activities, ensuring efficient and effective service delivery. This role requires strong organizational skills, technical knowledge, and the ability to work collaboratively in a fast-paced environment.

Key Responsibilities
Assist in scheduling and coordinating HVAC and Sub Metering service appointments and maintenance activities.
Maintain and update service records daily, review and assign work orders daily.
Build and manage job schedules for timely execution, build and send submittals for projects, create job schedules and updates.
Support the operations team in tracking and managing equipment and supplies.
Communicate with clients to confirm appointments, provide updates, and address inquiries.
Assist in preparing reports and documentation for management review and client submission.
Ensure compliance with safety regulations and company policies. Document and maintain proof of compliance and file/folder structure and access.
Provide administrative support to the operations team as needed.
Qualifications
Gentle persistence, ability to get it done, communicate with passion and follow up with relentless tenacity. You should feel satisfied when you achieve your task no matter what the obstacles.
Mandatory four-year college degree in Business and/or Communications and/or Operations; additional technical training or certification in HVAC is a plus.
Previous experience in an administrative or operations support role in the HVAC and Sub Metering industry.
Superior organizational and multitasking skills.
Excellent communication and interpersonal skills.
Tools we Use, Microsoft Word, Excel, Outlook, Teams, Asana, HubSpot and Work Order Software, ServiceBox, QuickBooks.
Be the Glue – ability to work independently and as part of a team and be the glue for the team.
Meticulous attention to detail and a resolution for accuracy.
