Summary/Objective:
The Front Desk & Intake Coordinator serves as the first point of contact for the firm and plays a key role in providing a professional, welcoming, and efficient experience for clients, prospective clients, visitors, vendors, and staff. This position is responsible for managing incoming telephone calls and new client inquiries, coordinating the intake process, receiving and processing incoming mail and faxes, maintaining accurate electronic case files in the firm’s case management program (CloudLex), and providing general administrative support to attorneys and staff.
Essential Functions:
1. Manage all incoming phone calls and serve as the primary point of contact for the office. Answer calls professionally; determine the purpose of each call and promptly transfer callers to the appropriate attorney or staff member when necessary.
2. Manage new client intake calls by gathering accurate and complete information from prospective clients and ensuring that all required intake information is entered into CloudLex.
3. Coordinate the intake process by ensuring new potential cases are properly documented and forwarded to the appropriate attorney or partner for review. Communicate the appropriate follow up or decision to prospective clients as directed.
4. Receive and welcome clients, prospective clients, vendors, and other visitors in a professional and hospitable manner. Notify the appropriate attorney or staff member upon their arrival.
5. Receive, sort, and distribute incoming mail. Scan and upload documents into the appropriate CloudLex case, ensuring documents are filed accurately and efficiently.
6. Monitor and process incoming faxes, ensuring each document is reviewed, saved to the correct case, and given an accurate and consistent file name before being uploaded to CloudLex.
7. Prepare outgoing mail and other correspondence as needed.
8. Know how to operate standard office equipment including computers, multi-functional printers, and telephone systems.
9. Maintain an organized an professional reception area, front desk, breakroom, and other common office areas.
10. Monitor and maintain office and breakroom supply inventory and notify appropriate personnel when supplies need to be replenished.
11. Maintain office calendars and coordinate the use of office meeting spaces, including conference rooms and other designated meeting areas, as necessary.
12. Obtain and maintain Notary Public commission/designation, as required by the firm.
13. Provide general administrative assistance to attorneys, paralegals, and other staff as needs.
14. Maintain the confidentiality and security of client, case, and firm information always.

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and scan and fax machines.
Position Type/Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday, 8:30 a.m. to 5 p.m. Punctuality is essential to this position.

Minimum Required Education and Experience
Graduation from high school or GED equivalent with specialized course work in general office practices.
Pay: $40,000.00 – $50,000.00 per year
