ROLE OVERVIEW
We are looking for a detail-driven Investment Customer Administrator to join our Administration team.
In this role, you will be responsible for the accurate administration of client accounts, policies and investment transactions on the Company’s CRM and administration systems. You will play a key part in ensuring that data, cash flows and trades are processed correctly and on time, while providing responsive support to clients and advisors.
This position is ideal for someone with a strong eye for detail, a passion for clean data, and an interest in wealth / investment administration in an international environment.
KEY RESPONSIBILITIES
Client & Policy Administration
- Create and maintain new client accounts on the Company’s CRM and administration systems.
- Scan, upload and electronically file client documents in line with internal standards.
- Capture and update data for new and existing clients to ensure accurate, complete records.
- Create policy schedules for new investment transactions and ensure documentation is correctly produced and stored.
KYC, Compliance & Controls
- Perform KYC reviews for new and existing clients, ensuring that all required documentation is obtained, checked and kept up to date.
- Review and authorise instructions within your delegated authority, escalating exceptions where necessary.
Cash, Dealing & Transaction Processing
- Match deposits to investor/policyholder accounts and investigate any unmatched items.
- Process distributions, switches and other investment instructions accurately and within agreed service standards.
- Process income payments, withdrawals and surrender instructions.
- Update fund and instrument pricing on the administration system as required.
- Process trade instructions, redemptions and related settlement activities.
- Process bank transfers and payments in line with internal procedures and deadlines.
- Process debit orders and ensure successful collection and allocation.
- Process forex transactions, ensuring correct rates and supporting documentation.
- Process fee and commission payments to relevant stakeholders.
- Create new instruments, funds and products on the Company’s administration system when required.
Client Service
- Resolve and respond to queries and instructions from clients by email and telephone.
- Supply accurate information relating to policy portfolios, prices, dealing procedures and instructions, markets and currencies.
Projects, Training & Governance
- Participate in and/or report back at management committees and related forums when required.
- Provide process, procedural and systems training to colleagues as and when required.
- Perform project and ad hoc tasks as allocated (e.g. system enhancements, data clean-ups, migrations).
- Perform back-up duties for colleagues to ensure continuity of service.
- Carry out any other tasks that are reasonably related to your position or area of work, in line with the needs of the Company.
SKILLS & EXPERIENCE
- Diploma or degree in Finance, Accounting, Business Administration or a related field (or equivalent experience).
- Previous experience in wealth management, life insurance, fund administration or investment operations will be a strong advantage.
- Good understanding of basic investment and policy administration concepts (e.g. funds, instruments, switches, redemptions, fees).
- Working knowledge of KYC/AML principles and client onboarding processes.
- Strong computer literacy, including MS Office (particularly Excel), and confidence working with CRM/administration systems.
- High level of accuracy and attention to detail in data capturing and transaction processing.
- Strong organisational skills with the ability to manage multiple tasks and meet deadlines.
- Clear and professional communication skills in English, both written and verbal.
- Team-oriented, proactive and service-focused mindset.
