We are looking for a detail-driven Invoicing Administration Officer to join our Clark team. In this role, you will be the operational backbone behind accurate and timely invoicing-managing client workflows, tracking purchase orders, and resolving data discrepancies before they impact the business.
Your Impact
- End-to-End Invoicing: Raise and submit accurate invoices via customer portals or email. Process incoming service worksheets and enter operational data with precision.
- Quality Assurance: Review technician and subcontractor inputs for completeness. Investigate discrepancies between actual costs/labor and job records, resolving paperwork issues quickly.
- Workflow & PO Management: Raise supplier/subcontractor purchase orders, manage goods receipting, and keep the client workflow portal updated.
- Service Coordination: Run reports on outstanding service calls, update statuses, and allocate quoted or planned maintenance calls to technicians.
- Contract & Admin Support: Create and maintain a master list of client service contracts. Partner with Accounts Payable on invoice queries and handle general administrative duties.
What You Bring
- Administrative Experience: Proven background in project administration, data entry, document control, and file management.
- Technical Toolkit: High proficiency in MS Excel (formulas, formatting) and MS Office; Adobe PDF editing skills are a strong advantage.
- Communication Skills: Strong verbal and written English communication skills, with the confidence to handle phone and email inquiries.
- Operational Discipline: Exceptional attention to detail, strong time management, and the ability to hit strict deadlines while multitasking.
- Adaptability: Familiarity with online booking tools and systems, with the capability to work independently under minimal supervision.
