Our client, a not for profit residential organization requires an Administrative Assistant to join them on a temporary basis.
Responsibilities:
- Answers and directs phone calls and general office emails to the appropriate person; ensures member inquiries are addressed in a timely manner.
- Greets visitors, including members, staff, contractors, and vendors, providing a positive and welcoming client experience.
- Opens and closes the reception area and ensures it is kept tidy.
- Distributes incoming mail and correspondence to appropriate individuals; date stamps mail and files member correspondence weekly.
- Maintains organized, up-to-date filing systems for both paper and electronic documents, including member contact lists.
- Keeps the bookkeeper informed of parking and locker changes.
Role requirements:
- Previous experience in a receptionist, administrative, or front desk role
- Strong verbal and written communication skills
- Excellent customer service and interpersonal skills
- Ability to manage multiple tasks and prioritize effectively
- Proficient in Microsoft Office Suite (Word, Outlook, Excel) and general office technology
- Strong organizational skills and attention to detail
- Experience maintaining filing systems (electronic and paper)
- Ability to handle confidential information with discretion
- Comfortable working independently and as part of a team
- Familiarity with housing co-ops or non-profit environments is an asset
