About The Role

As Junior Administrative Assistant in the COO office you take ownership of travel logistics, calendar coordination, and administrative follow-through, so that our Executive Assistant and COO spend their time on decisions rather than bookings. Our COO travels constantly across the UK, US, Japan, Taiwan, and Latin America, often on multi-leg trips that get rebuilt at short notice. A wrong date or a missed invite has visible cost, so getting the detail right, consistently, is the job. In return you sit closer to how a company actually runs at the executive level than almost any other entry-level role will put you.

Your responsibilities

  • Own flight, hotel, and itinerary bookings for all COO office travel, including multi-country and multi-leg trips
  • Manage calendars and scheduling across time zones: invites, rescheduling, and catching conflicts before they become problems
  • Prepare expense reports and keep receipt tracking clean and current
  • Support meeting prep with agendas and briefing materials, then track and close out action items afterwards
  • Maintain and organize the team’s task tracking system and contacts database
  • Bring structure to follow-ups that currently live in informal running notes, so nothing falls through

Your key competencies

You are comfortable being trusted with detail that carries real cost, and you would rather build a system than wait for one to be handed to you.

  • Currently studying or recently graduated. Business administration, international relations, hospitality, or anything else: the field matters less than evidence you are organized.
  • Prior experience handling logistics, scheduling, or administrative work in any setting, including internships, part time jobs, student organizations, or event committees
  • Strong written and spoken English, at a level where we would trust you to email an investor
  • Availability and responsiveness that fit real-time travel support, including occasional early mornings and evenings
  • Right to work in Finland

Nice to have

  • Experience in an EA, office management, or travel coordination role, including informal versions of it
  • Familiarity with Google Calendar, Notion, Slack, or travel and expense platforms
  • Finnish or another language used across our markets
  • Exposure to a startup, consulting, or international business environment
