Key Responsibilities
Executive Coordination and Task Tracking
- Listen and Take Clear Notes: Attend leadership meetings, client calls, and coaching sessions. Record key decisions, instructions, action items, and important details.
- Manage the Task Tracker: Create and update a daily master task list for all work assigned by leadership to different team members.
- Follow Up on Tasks: Regularly follow up with team members to make sure tasks are completed correctly and on time.
- Keep Leadership Updated: Give leadership clear updates on task progress, delays, pending decisions, risks, and major problems.
- Ensure Clear Understanding: Act as a link between leadership and the team. Make sure every team member understands what they need to do, when it is due, and what quality is expected.
Documentation and Information Management
- Organize Information: Turn meeting discussions and unstructured information into clear notes, SOPs, trackers, and dashboards that are easy to find and use.
- Maintain Accurate Records: Keep complete and accurate records of client discussions, coaching sessions, contracts, decisions, and internal communication.
Financial Administration and Billing Support
- Prepare Client Invoices: Create accurate invoices based on leadership instructions and get approval before sending them to clients.
- Track Invoice Status: Maintain an invoice tracker and update each invoice as Prepared, Approved, Sent, Pending, or Paid.
- Support Billing and Payment Follow-Ups: Work with internal team members to resolve billing issues, follow up on pending payments, and keep leadership informed about expected cash flow.
Required Qualifications and Skills
- Strict Prerequisite: Applications will only be considered from candidates possessing a formal educational background in Business Administration, Management, Finance, or a closely related discipline.
- Experience: 1+ years of proven experience in Founders office, Executive Support, or Office Administration.
- Financial Literacy: Strong hands-on experience in invoicing workflows, basic expense tracking, and documentation management.
- Tech Stack Proficiency: High proficiency in MS Excel (data organization, formatting, tracking formulas) and Google Workspace.
- Tool Familiarity: Prior experience with Zoho Books or equivalent accounting/ERP software is highly preferred.
- Core Competencies: Exceptional active listening skills, rigorous attention to detail, flawless written and verbal communication, and an uncompromising commitment to data confidentiality.
