Overview
A private client in Coconut Grove, Miami, is seeking a highly organized and professional bilingual English | Spanish Junior House Manager | Personal Assistant to provide seamless support across household, personal, and administrative tasks. Responsibilities include coordinating calendars, managing travel logistics, scheduling appointments, processing expense reports, preparing bills for payment, organizing documents across platforms, overseeing office administration, managing vendor relationships, and occasionally driving the principals to appointments and conducting errands.
The ideal candidate will excel in organization and administration, demonstrate a professional and polished presence, and bring the flexibility to adapt to diverse needs. This position involves working between the client’s residence and a nearby corporate office, blending professional and personal support. The client seeks someone with a warm, approachable demeanor who takes a proactive, executive-minded approach to their role.
Please note:
this position is open only to candidates based in Miami, ideally those with a long-established residency in the area.
Primary Responsibilities:
Work in-person, five days per week – either in the residence or the family office
Manage the client’s calendar, coordinating schedules with various parties, including medical offices, family members, and guests
Handle personal office administrative tasks for the client
Organize and maintain digital files, emails, and documents across multiple platforms
Coordinate domestic and international travel arrangements including detailed itineraries
Process expense reports and prepare bills for payment
Coordinate with family office staff and external service providers
Manage home maintenance requests and coordinate with service providers
Facilitate family communication and coordination
Assist with organization of social events and guest visits
Coordinate medical appointments and related logistics
Organize and maintain important documents and records
Assist with technology needs including Zoom setup and basic technical support
Provide transportation assistance as requested and run errands
Manage correspondence and communication with extended family and friends as requested
Driving the clients to and from appointments, errands, etc.
Walking the family’s grand dog when requested.
Required Qualifications:
3-5 years of house manager and/or personal assistant experience – note, we are not looking for candidates with 10+ years of experience (this is a junior level role)
Must be fluent in Spanish
Must be local to Miami and have a firm knowledge of the area
Meticulous organizational and time management skills
Professional demeanor and exceptional communication abilities
Proven experience with calendar and email management
Strong attention to detail and ability to maintain confidentiality
Flexibility to work outside of normal office hours, especially when the clients are traveling or during busier periods in the home
Valid driver’s license with impeccable driving record
Impeccable professional references
Must be Covid-19 vaccinated
Must be comfortable around dogs as occasional pet care will be requested
Compensation and Benefits:
Competitive base salary of up to $120,000+ (includes bonus)
