Key Responsibilities
- Work closely with the Assistant General Counsel and Corporate Secretary to keep them informed of upcoming commitments.
- Maintain an efficient flow of information between all levels, including internal and external contacts.
- Prioritize conflicting needs and handle matters expeditiously under deadline pressures.
- Coordinate budgeting, expense reporting, reimbursements, time reporting and invoice processing.
- Oversee internal and external meetings and travel arrangements.
- Manage day‑to‑day administrative affairs, schedule appointments, conferences and speaking engagements.
- Distribute materials and ensure logistical arrangements for meetings.
- Compile information and research for meetings, including backgrounds of attendees and meeting summaries.
- Coordinate with other departments for speeches and communications and maintain a priority list of projects.
- Process incoming correspondence, prioritize and draft letters or documents as required.
- Review, proofread and format all correspondence before signature.
- Maintain records and minute books for the corporation and its subsidiaries.
- Assist with loadings, board meeting binders and preparation of materials for board meetings.
- Support the Board Coordinator and other Executive Assistants in compiling materials for board meetings.
- Assist with the planning and implementation of site tours, including logistics and coordination with local offices.
- Support the Assistant Corporate Secretary with record maintenance and administrative tasks.
Qualifications and Professional Experience
- Post‑secondary education in Business Administration, Communications, Legal Assistant studies or a related field.
- At least 10 years of executive‑level administrative experience.
- Knowledge of the pipeline and construction industry is a plus.
- Advanced computer skills with Microsoft Office Suite, SharePoint, PowerPoint and Excel.
- Proven ability to manage executive calendars and coordinate conferences and events.
- Strong track record of delivering high‑quality work and managing competing priorities.
- Effective communication skills, conveying information clearly and professionally.
- Excellent organizational skills, meeting deadlines and maintaining attention to detail.
- Ability to handle confidential information with tact and diplomacy.
- Strong initiative and proactive support for the AGC and Corporate Secretary.
