Role Purpose

The LTIP Administrator is the central capability that manages, administers, and rolls out every approved Long-Term Incentive Plan (LTIP) scheme across all business units. Rather than each business unit building and maintaining its own administration effort, this role provides a single, expert, standardized service that every business unit can rely on to run its schemes accurately, consistently, and on time.

It is an operational role that begins where design ends. It takes schemes that have already been designed and approved and makes them work in practice, from participant onboarding and calculations through vesting, payout, reporting, and governance. It does not design schemes or set incentive strategy, quantum, eligibility, or performance metrics.

Scope & Context

• Serves as the single point of accountability for LTIP administration across the organization, covering all schemes, all business units, and all eligible levels.

• Maintains the authoritative record of every scheme, award, and participant, so the business has one accurate, reliable source of truth.

• Engaged after scheme design is complete and approved; owns operation, rollout, and ongoing administration, and standardizes how these are run across business units.

Key Responsibilities

Scheme Administration & Lifecycle Management

• Administer all live LTIP schemes in line with approved plan rules, and maintain a complete register of schemes, participants, awards, grant dates, vesting schedules, and performance conditions.

• Track each award through its full lifecycle (grant, vesting, forfeiture, lapse, settlement, and payout), and own the master LTIP calendar so grants, performance testing, communications, and payouts all happen on time.

Rollout & Implementation

• Roll out approved schemes to each business unit, including enrollment, award documentation, and participant onboarding.

• Coordinate with business unit leaders and HR to confirm participant lists, eligibility, and award allocations as defined in the approved design, acting as the central implementation lead for consistent execution.

Calculations & Payouts

• Perform accurate award and vesting calculations based on the pre-defined formulas and performance conditions.

• Apply leaver rules, pro-rations, and adjustments strictly per scheme terms, and prepare payout schedules and settlement instructions for approval.

Grant Limits, Benchmarking & Recruitment

• Work with the recruitment function to apply the grant limits that apply to each business unit and to each level within it, maintaining an up-to-date limits reference and flagging any award or offer that falls outside those thresholds.

• Support recruitment on the LTIP element of offers by confirming applicable limits and available award ranges for the relevant business unit and level.

• Run benchmarking exercises comparing LTIP grants, limits, and practices against internal levels and relevant external market references, and share findings to inform decisions within the approved design.

Financial Administration & Reporting

• Maintain LTIP accruals, provisions, and cost tracking with Finance; reconcile balances, funding, and payouts; and support month-end, year-end close, and audits.

• Track financial exposure and cost at both business unit and consolidated levels, and produce regular and ad-hoc reports on participation, cost, vesting, and outstanding awards for management and business unit leaders.

Governance, Compliance & Participant Support

• Ensure administration complies with plan rules, internal policies, and applicable legal, tax, and regulatory requirements, maintaining complete audit trails and preparing inputs for governance or remuneration committee reporting.

• Act as the central point of contact for participant queries, issue award and vesting communications, and safeguard the confidentiality and integrity of all compensation data.

• Own and maintain administration systems and trackers, coordinate any third parties (plan platforms, brokers, trustees, and legal or tax advisors), and continuously standardize processes across business units.

Qualifications & Experience

• Bachelor’s degree in Finance, Accounting, Business, HR, or a related field; a professional qualification (e.g., ACCA, CPA, CFA) or a recognized reward/compensation certification is an advantage.

• Typically 2 to 4 years in incentive/equity plan administration, compensation & benefits, or finance operations, ideally within a multi-entity or multi-business-unit environment.

• Demonstrated experience administering LTIP, deferred incentive, or equity schemes end to end, with a solid grasp of vesting, performance conditions, leaver treatment, and payout processing.

Skills & Competencies

• Exceptional accuracy and attention to detail, with confidence handling high-stakes calculations.

• Advanced Excel and hands-on experience with plan administration, HRIS, or ERP systems, plus strong numerical, analytical, and reconciliation skills.

• Excellent organization and the ability to manage multiple schemes, deadlines, and stakeholders at once.

• High integrity and discretion when handling confidential compensation data.

• Clear communication for participant queries and cross-business-unit coordination, with a process-oriented drive for standardization and improvement.

Key Relationships

• Finance & Accounting: accruals, reconciliation, close, and reporting.

• HR / Total Rewards & Recruitment: participant data, eligibility, and grant limits.

• Business Unit Leaders: rollout, participant lists, and query resolution.

• Governance / Remuneration Committee: scheme reporting and assurance.

• External Advisors & Vendors: legal, tax, plan platforms, brokers, and trustees.

Success Measures

• All grants, vesting events, and payouts processed accurately and on time.

• Awards kept within approved grant limits for every business unit and level, with no material errors in calculations or records.

• Consistent, standardized administration and timely, accurate reporting across all business units.

• Clean internal and external audit outcomes, and prompt resolution of participant queries.
