Role:

To provide administrative and operational support for the Maintenance Department, ensuring efficient handling of procurement, financial documentation, and work order management across all Americana restaurant locations in Saudi Arabia.

Key Responsibilities:

  • Create and manage Purchase Requisitions (PRs) and Purchase Orders (POs); maintain accurate procurement tracking sheets.
  • Handle petty cash transactions with proper reconciliation and documentation.
  • Process invoices and Goods Receipt Notes (GRNs); coordinate with finance for timely payments.
  • Manage documentation for equipment warranties and asset insurance, including renewals and claims.
  • Assign and schedule maintenance work orders manually and via Dispatch Console, coordinating with technicians for timely service.
  • Administer the ServiceMax system SLA’s, ensuring accurate real-time updates to work orders and job status.
  • Monitor work order priority, ensuring critical issues are addressed promptly and performance targets are met.
  • Support reporting and continuous improvement initiatives within the Maintenance Admin team.

Qualifications:

  • Bachelor’s degree in business administration, Facilities Management, Engineering, or a related field.
  • 3-5 years’ experience in an administrative role, preferably within the restaurant, hospitality, or facilities industry.
  • Working knowledge of ERP systems (Oracle preferred) and maintenance platforms such as ServiceMax.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).

  • Proactive, detail-oriented, and capable of working independently in a fast-paced environment.
